Job Title: Travel Coordinator

Reporting directly to the Travel Lead, the Travel Coordinator is responsible for organizing travel for the Eskay Creek site, overseeing flights and ground transport, making key decisions for smooth operations and quick responses to disruptions and ensuring efficient and safe travel in a dynamic environment.

Responsibilities (including But Not Limited To)

  • Coordinate transportation arrangements, encompassing a variety of modes such as exclusive charters, commercial airlines, standard bus services, vehicle rentals, and other alternatives as necessary.
  • Function as a central point of contact for inquiries, issues, or concerns related to travel, offering comprehensive assistance and support.
  • Inform the Senior Leadership Team, Camp Services, and gate security about travel diversions, delays, or interruptions, keeping affected stakeholders well-informed.
  • Monitor coach (bus) journeys to/from Terrace, providing updates to site management and Camp Services.
  • Efficiently manage travel requests and promptly enter them into the booking system.
  • Manage the necessary paperwork for compliance with Drug & Alcohol clearance for sub-contractors, a mandatory prerequisite for accessing the site.
  • Coordinate with contractors on logistic requirements to/from site.
  • Liaise with transportation services within the northern communities.
  • Be available to handle travel-related emergencies beyond the standard working hours.
  • Actively engage in continuous updates to systems and travel processes.
  • Establish and sustain current employee profiles and rosters as instructed by the Human Resources Team.
  • Maintain a high standard of service, confidentiality, and consistency to ensure the safe and timely execution of operations on each "travel day”.
  • All other duties as reasonably assigned.

The Ideal Candidate

Experience / Skills

  • Grade 12 High school Diploma or GED equivalent.
  • Exceptional administration skills and ability to learn new systems.
  • Strong MS Office experience, including MS Teams, SharePoint, Excel and Word.
  • Experience with travel management systems such as INX InFlight or similar.
  • Work well under pressure and within time restraints.
  • Travel-related experience is required, and FIFO experience is an asset.
  • Organization, planning and project management skills.
  • High level of attention to detail, timing and performance.
  • Excellent verbal, written and interpersonal communication skills.
  • Self-starter who can work well independently as well as within a team.
  • Analytical thinking with strong decision-making skills.
  • Identify and mitigate or elevate safety-related concerns.

Work Location & Conditions

This is a fully remote opportunity, with periodic travel to the Eskay Creek mine site and the Vancouver Corporate Office possibly required from time to time. Additionally, the job is in a fast paced, and at times stressful working environment, with having to manage multiple competing priorities.
