The Opportunity

Fueling Brains Academy. is looking for a motivated person with the strong knowledge, understanding and experience of system administration. The System Administrator will play a pivotal role in managing and enhancing Fueling Brains Academy’s (FBA) IT systems, with a strong emphasis on Customer Relationship Management (CRM) platforms akin to HubSpot and Salesforce. This role requires a deep understanding of CRM functionalities, particularly in guiding customer journeys and lead management processes. The System Administrator will oversee access control, support system enhancements, and ensure streamlined operations across all platforms, acting as a mediator between FBA administrators and external developers.

Key Accountabilities And Responsibilities

  • Oversee and maintain CRM systems, ensuring they effectively support customer journey mapping and lead management processes, with functionalities comparable to platforms like HubSpot and Salesforce.
  • Customize CRM tools to align with organizational processes, enhancing user experience and operational efficiency.
  • Manage and oversee access controls for systems such as 1Core, CRM, and other IT platforms, ensuring secure and efficient workflows.
  • Update user roles and permissions as needed to reflect organizational changes and evolving system requirements.
  • Serve as the primary liaison between 1Core developers and FBA administrators for managing enhancement tickets.
  • Document, prioritize, and implement enhancement requests through a structured approval process.
  • Oversee the integration and functionality of FBA-related applications across operations, admissions, and education services.
  • Provide ongoing technical support to minimize system downtime and maintain optimal performance.
  • Handle tasks including email setup, computer configuration, technology procurement, and managing printing systems like Xerox across all sites.
  • Manage software licenses, device inventory, and technology contracts.
  • Perform basic troubleshooting and IT support tasks.
  • Develop and enforce controlled approval processes for all system changes, enhancements, and updates.
  • Monitor and validate system updates to ensure alignment with organizational goals.
  • Act as a mediator between external IT developers and internal teams to facilitate effective communication and ensure timely project completion.
  • Partner with key stakeholders to identify areas of improvement and implement scalable solutions.
  • Develop and maintain comprehensive system documentation, including workflows, user guides, and technical manuals.
  • Generate daily, monthly, quarterly, and annual reports with analytical insights and actionable takeaways.
  • Provide training to staff on new system features, enhancements, and best practices to ensure effective adoption.

Qualifications

  • Bachelor’s degree in Information Technology, Computer Science, or a related field.
  • At least 3 years of experience in system administration or a comparable role, ideally within education or service-oriented industries.
  • Expertise in managing CRM systems, access controls, and IT applications.
  • Familiarity with child care management platforms is highly preferred.
  • Strong skills in project management and communication, with the ability to bridge technical and non-technical stakeholders effectively.
  • Demonstrated ability to multitask, prioritize, and meet deadlines efficiently.
