Description
Based out of the Calgary office the Executive Assistant will report to the Senior Vice President, Transportation. The Executive Assistant will provide day-to-day administrative support to the Senior Vice President, Transportation and their direct reports including the VP, Pipeline Operations, VP, Commercial & Major Projects, and Associate General Counsel. This role requires the ability to work in a fast-paced environment while successfully prioritizing responsibilities in a confidential manner. The Executive Assistant will have solid relationship building skills and will be able to work across the Transportation Business Unit and other Inter Pipeline businesses in a professional, timely, efficient, accurate, and cost-effective manner.

Description
Based out of the Calgary office the Executive Assistant will report to the Senior Vice President, Transportation. The Executive Assistant will have solid relationship building skills and will be able to work across the Transportation Business Unit and other Inter Pipeline businesses in a professional, timely, efficient, accurate, and cost-effective manner.
Key Activities And Responsibilities
- Extensive and timely calendar and meeting management required
- Compilation and submission of monthly expense reports
- Assist with document management requests including the review, filing, production, and distribution of supporting documents/presentation materials, agendas, and action items as required
- Assist with the tracking, preparation and coordination of budgeting and board related agendas presentations
- Coding and processing of invoices and setting up new vendors and tracking through SAP
- Prepare, format, and edit presentations and other correspondence
- Organize travel arrangements and provide logistical support
- Coordinate and support customer and community engagements and event planning for the Transportation Business Unit, leading these initiatives in Calgary and providing support to field locations
- Support office moves as required
- Create and edit SharePoint sites and pages
- Responsible for taking meeting minutes as required
- Liaise with other administrative staff across Inter Pipeline to ensure seamless coordination and alignment on cross functional matters
- Other ad hoc duties as assigned
- Strong computer skills including top level knowledge and proficiency in Microsoft Office
- Excellent interpersonal skills
- Excellent time management, prioritization, and organizational skills
- Excellent critical thinking and problem-solving skills
- Ability to anticipate needs and manage competing demands with high attention to detail
- Strong communication skills, both verbally and in writing, providing professional correspondence
- High level of confidentiality
