Service Coordinator

Reporting to the General Manager/Controller, this position is responsible for efficiently and effectively coordinating operations efforts to maximize efficiencies and lead in finding new business. Success in this role comes from providing the best information possible to aid in decision making through open communication with management.

Duties and Responsibilities

Customer Relations

  • Work with customers to find solutions to assist with their problems or issues.
  • Assist in the collection of aging and overdue accounts.
  • Drive actions to find new customers and make new sales.
  • Take calls, provide quotes, and organize work orders and invoicing (QB, QBO, FM tank movement).
  • Plan, develop, and share marketing initiatives with leadership.

Operations

  • Assist service personnel with efficient delivery routing, updating drivers with mid-day changes, and providing input based on other information like collections or customer communications.
  • Maintain operations assets by keeping the database up to date and ensuring all assets are properly accounted for, including tank movement, maintenance, and utilization.
  • Maintain a database of tank inspections and ensure inspections are performed correctly and on time.
  • Maintain a database of delivery trucks and ensure they are repaired or maintained as needed.
  • Maintain safety compliance information, informing management of deadlines and requirements.
  • Ensure service staff is trained and oriented to the customer service strategy using aligned recruitment, onboarding, training, development, and performance management practices.

  • Relevant business/technical or trade school certification

  • Experience in a similar role is an asset
