What You Will Do

Provide executive-level business coordination and administrative support to the CEO, and the C-suite. The successful individual will possess the highest degree of confidentiality and diplomacy and provide timely and accurate delivery of executive support. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced, growing company.

  • Provides business and administrative support by proactively preparing correspondence, communications, presentations, reports, and other materials necessary.
  • Develops and writes technical materials and correspondence as required for the organization.
  • Assists with project management and coordination to ensure efficient and effective workflow and follow-up.
  • Coordinates and facilitates meeting requests and events. Ensures meeting materials are provided to the senior executive member in preparation for the meeting.
  • Prepares meeting agendas, take meeting minutes, and follow-up on action items.
  • Manages and maintains schedules, appointments, and travel arrangements, including flights, accommodations and transportation. Anticipate potential conflicts and proactively resolve scheduling issues.
  • Act as a gatekeeper for the Executive, managing access and prioritizing requests.
  • Ensures deadlines for action and follow-up occur to ensure commitments are being met.
  • Develops systems and processes to support an efficient and effective organization.
  • Conducts research, performs analysis, and makes recommendations for new approaches for continuous improvement.
  • Liaises and provides excellent customer service to internal and external clients.

Qualifications

  • Post-secondary business education, or related field plus a minimum of three years’ recent, related experience in an executive support role with business project management. An equivalent combination of education, skills and experience may be considered.

  • Excellent knowledge of Google/Microsoft suite applications

  • Ability to be creative and innovative to respond to business needs
  • Possess business acumen and critical thinking skills and can anticipate future needs of the business
  • Ability to build and maintain strong relationship skills and provide exceptional customer service to internal and external clients
