Key Responsibilities

HOW YOU WILL CONTRIBUTE AND WHAT YOU WILL LEARN

  • Manage complex calendar scheduling and coordination for executive team members, including internal meetings, client appointments, and industry events while always maintaining strict confidentiality and professionalism
  • Coordinate and arrange domestic and international travel arrangements, including flights, accommodations, and detailed itineraries while ensuring compliance with company travel policies
  • Process expense reports and handle invoice reconciliation using our enterprise resource planning system, maintaining accurate records and following up on any discrepancies
  • Draft and edit professional correspondence, presentations, and reports using advanced Microsoft Office skills, with particular attention to detail and branding guidelines
  • Organize and maintain digital and physical filing systems, ensuring quick access to important documents and maintaining appropriate security protocols
  • Assist in planning and coordinating executive meetings, board meetings, and company events, including venue selection, catering, and preparation of materials

Qualifications

KEY SKILLS AND EXPERIENCE

  • Minimum 5 years of administrative experience, preferably in a corporate environment
  • Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Demonstrated discretion in handling confidential information
  • Experience with travel arrangement and calendar management
  • Ability to work extended hours occasionally as needed
