PROFILE

We are currently recruiting for a Client Services Coordinator to join our Client Services team. Working within a team environment, the Client Services Coordinator is responsible for responding to client requests regarding meeting and event requirements and set up within the Conference Centre. The Coordinator maintains the cleanliness of the Conference Centre, arranges standard catering requests for clients, assists in the configuration of boardrooms and meeting areas, and performs audio visual set-up for meetings. Core hours are 10 am to 6 pm, but flexibility will be required dependent upon event and meeting requirements.


RESPONSIBILITIES

  • Responsible for set up and clearing catering for all events and meetings, including but not limited to table and boardroom preparation and bussing soiled dishes and glassware to the kitchen for cleaning.
  • Responsible for set up and take down of events and receptions, including breaking down and moving tables, chairs and other equipment.
  • Perform housekeeping duties in lounges, pantries, and boardrooms to ensure that they are clean, neat and orderly in appearance in accordance with sanitary and esthetic standards. Replenish expendable supplies in lunchrooms and other serving areas.
  • Responsible for maintenance and cleaning of equipment related to food and beverage service.
  • Monitor and respond to requests from clients for room, event and video conferencing bookings, catering, room configuration and audio visual requirements.
  • Responsible for all audio visual and conference equipment including booking, setup, testing and operational assistance for clients in the conference centre.
  • Arrange for catered meals when required, working with the Client Services Manager on non-standard and large-scale requests.
  • Maintain inventory of food and beverage supplies and equipment, submitting appropriate requests to requisition additional supplies, with approval.
  • Responsible for food and beverage service at events, including service of alcoholic beverages as required.
  • Escort and oversee external vendor activities as required.
  • Provide and assist with reception coverage as required.
  • Provide assistance with facility related tasks including but not limited to office and workstation set ups, shuffles and bank runs as required.
  • Any other duties as required.


QUALIFICATIONS

  • Adaptable and comfortable working in a team-oriented environment, striving to deliver excellence in client service.
  • Ability to work independently with the purpose of achieving shared goals and objectives.
  • Ability to communicate effectively with firm members and fellow team members, with an aptitude to take care of clients’ needs in a professional and courteous manner.
  • Ability to work in a fast-paced environment, producing high-quality work, occasionally under tight timelines and stressful conditions.
  • Flexible and capable of working with changing priorities and objectives.
  • Must be capable of lifting/carrying/moving items of up to 50lbs or more. Comfortable frequently bending, kneeling, stooping and reaching.
  • Knowledge of Microsoft Office Suite, specifically Outlook and Word.
  • Smart Serve certification an asset.
  • Bilingualism (French/English) required.
