Position Overview
The Executive Assistant plays a pivotal role in enhancing the productivity and leadership effectiveness of the COO of Strategic Group by providing professional and administrative support. This role requires a high level of professionalism, confidentiality, proactivity, intuition, and exceptional organizational skills.
Key Responsibilities
Executive Support and Productivity Optimization
- Provide proactive support by anticipating needs to ensure maximum effectiveness and productivity of the COO by streamlining daily operations and minimizing distractions.
- Assist in documentation and the setting and tracking of goals, priorities, and initiatives to ensure maximum clarity, focus, and execution by the COO.
- Ensure effective time management by scheduling regular check-ins with the COO to align on priorities, progress, and next steps.
- Recognize, prioritize, and channel urgent matters appropriately, ensuring that time-sensitive issues are addressed promptly.
Internal and External Representation
- Provide leadership in building internal and external relationships, acting as the first point of contact between the COO and key stakeholders.
- Represent the COO in a professional manner in all internal and external interactions, ensuring alignment with Strategics' vision and maintaining a positive image for the organization.
- Act as a liaison between the COO and senior leadership, facilitating smooth communication and collaboration on key initiatives.
- Maintain and update a contact database for important external relationships, ensuring prompt follow-up and tracking of interactions.
Communication and Documentation Management
- Assist in the development of tailored messaging, which may include writing, editing, and distributing internal and external communications.
- Develop and maintain an efficient paper and electronic filing system to ensure reports, correspondence, and documentation are kept organized, accurate, and readily accessible.
- Support the COO in responding to incoming correspondence, including emails, letters, and requests, ensuring timely and professional replies.
- Ensure that important communication items are flagged and followed up when necessary to avoid any items being overlooked or delayed.
Team Collaboration and Coordination
- Coordinate and collaborate with other Executive Assistants.
- Facilitate communication across teams to ensure that critical information is shared and that team members understand COO priorities and initiatives.
- Support cross-functional projects, liaising with department heads or key stakeholders to ensure that goals and deadlines are being met in alignment with Strategics' vision.
- Perform other ad hoc duties or projects that may be required, such as assisting with event planning, research, or urgent operational needs.
Qualifications
- Background in legal, finance, or business is preferred.
- Experience in a support function with progressive responsibility.
- Strong written and verbal communication skills.
- Advanced working knowledge of MS Office and the ability to adapt to new technology and software.
- Strong interpersonal and communication skills.
- Ability to multitask and prioritize actions in a fast-paced, entrepreneurial environment.
- Ability to handle confidential and sensitive materials discreetly.
