Sales Coordinator

Division: Sales and Marketing

Due to local laws, we will consider candidates who are authorized to work in Canada and are fluent in English and French, both spoken and written.

The role of the Sales Coordinator is above all to assist the sales team in administrative tasks, notably by entering the reservations received by the team in Opera in accordance with the hotel standards and with the instructions of the sales managers. One of the main tasks will also be to manage the administrative aspect of the groups in Delphi and Opera.

In addition, they will have to update contracts linking the hotel with various partners as well as audit and verify that accounts and activities are kept up to date. They will assist on a daily basis by providing useful reports for market analysis so that the sales team can conduct their prospecting by having account history. They will help centralize, analyze and archive results before they are entered into the database by the Sales Manager.

Core Responsibilities

  • Receive, qualify and assign incoming telephone leads in accordance with Four Seasons Standards
  • Receive other incoming phone calls and assist with overflow calls for Catering, Conference Services, Marketing and the Executive Office
  • Receive and assign sales leads via various lead generating sources
  • Prepare accurate proposals and contracts, using Golden, MS Word and Adobe PDF
  • Prepare spaces and meeting rooms for incoming site inspections
  • Answer client correspondence as needed by the Sales & Catering Teams to provide sales support
  • Prepare accurate written correspondence including emails, invoices, proposals using MS Word or Publisher, Golden, and Outlook
  • Maintain Golden accounts, including deposit schedules, creating and updating bookings, and manipulating events in the meeting log
  • Comply with Four Seasons standards for Sales and Marketing, while working harmoniously and professionally with co-workers and Planning Committee.
  • Perform other tasks or projects as assigned by hotel management
  • Perform tasks in the absence of Sales and Marketing colleagues
  • Participate in scheduled departmental and administrative meetings as requested
  • Participate in the management of reports and audits related to Golden Sales & Catering
  • Ensure the accuracy of banquet cheques and the compliance of invoices after the event. Prepare a monthly event report
  • Participate in Operations Manager Shifts ("Lobby Lizard")
  • Perform any other related tasks.

Qualifications and Skills Desired

  • Have excellent presentation skills and are able to speak fluently in French and English
  • Good relational skills to match the expectations of high-end clientele.
  • Have good resistance to stress and manage it in a positive and effective way;
  • Be comfortable in a fast-paced environment
  • Be a very good team player;
  • Interest and ability to provide outstanding service to our internal, external and supplier customers;
  • Maintain a professional look and conduct yourself in a mature manner and with integrity at all times, including performances outside the hotel;
  • Attention to detail and the ability to perform multiple tasks in a dynamic environment;
  • Be organized, creative, meticulous and resourceful;
  • Excellent computer skills, including practical knowledge of MS Word, Excel, Publisher and Power Point, and Opera and Golden Sales & Catering systems;
  • Previous experience of 2 to 3 years in a similar position;
  • College degree in hotel management, administration or related fields.
