Responsibilities
Office Operations:
- Open and close the office daily, ensuring the workspace is ready for staff and visitors.
- Manage office supplies, vendor relationships, and maintenance requests to maintain a professional and efficient environment.
- Serve as the primary point of contact for all office-related inquiries and needs.
- Coordinate meeting room schedules, greet visitors, and handle front-desk responsibilities.
- Provide scheduling, calendar management, and travel coordination for executives.
- Assist with creating reports, presentations, and other administrative tasks as needed.
- Oversee mail distribution, shipping, and other office logistics.
- Plan and execute employee engagement activities such as holiday events, company picnics, and team lunches.
- Coordinate catering and food orders for meetings and events.
- Support onboarding of new employees by preparing workstations and welcoming them to the team.
- Collaborate with HR, Talent Acquisition, Marketing, Business Development, and IT teams to provide administrative assistance.
- Help with scheduling interviews, maintaining personnel records, and managing small projects.
- Serve as a liaison for departmental requests and coordinate cross-functional activities.
- Bachelor’s degree in Business Administration, Communications, or a related field (required).
- 3+ years of experience in office administration or a related role.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to be on-site 5 days a week and handle opening and closing duties reliably.
- Familiarity with scheduling tools and office management software.
- Experience supporting executives or senior leadership teams.
- Event planning or coordination experience is a plus.
