This position involves providing legal secretarial support to one or more lawyers while maintaining a responsive relationship with their daily activities.
Main Responsibilities
- Prepares complex legal documents such as correspondence, factums, motions, and summonses through transcription.
- Drafts standard legal documents, correspondence, and pleadings for lawyer review, editing grammar, punctuation, and spelling as needed.
- Exercises initiative and judgment in the lawyer’s absence, negotiates extensions of time, and prioritizes incoming communications.
- Manages the lawyer's calendar, schedules appointments, and resolves scheduling conflicts independently.
- Answers a variety of telephone inquiries based on case knowledge, exercising discretion.
- Composes complex correspondence.
- Establishes, maintains, and revises the lawyer's files.
- Performs research, reviews, and prepares documents in consultation with lawyers or legal managers.
- Provides training to legal assistants and may train lawyers, law clerks, and other personnel.
- Proposes, develops, and maintains standard office precedents and procedures.
- Performs additional duties such as:
- Providing reception relief.
- Maintaining lists of witnesses, subpoenas, fees, etc.
- Requesting fees for payment from the Claims department.
- Assisting in organizing files for easy access during trials.
- Informing witnesses of scheduled court appearances.
- Other miscellaneous duties as assigned.
- Answers questions and provides guidance for less experienced legal assistants, may serve as a group leader, coordinating workflow and reviewing others' work.
Qualifications
- College diploma in legal secretarial studies and 5+ years of litigation experience.
- Ability to proof and edit legal documents.
- Motivated self-starter capable of working under pressure.
- Excellent oral and written communication skills.
- Strong interpersonal and client service skills, professional demeanor.
- Superior organization, priority setting, strong work ethic, and multitasking ability.
- Conceptual thinking and creative problem-solving skills.
- Intermediate MS Office skills; knowledge of standard office equipment and word processing.
