The Opportunity
We are seeking a highly motivated Executive Assistant to join our team. The individual will play a key role in supporting strategic improvements across the business through our Enterprise Resource Planning (ERP) modernization program to help TCE streamline core processes with a unified view and single source of truth.
The successful candidate will be given the opportunity to support a diverse project team, coordinating and scheduling meetings and activities across the entire enterprise responsible for modernization of our SAP and other technology systems and processes.
This role will report to the VP, S/4HANA, with all team members working as one team to achieve our corporate goals.
The successful candidate must be an efficient time manager, capable of working with minimal supervision, who possesses strong analytical, organizational, and written/verbal communication skills.
What you’ll do
- Provide diversified secretarial and administrative support to the Vice President, S4/HANA and other senior project team members to coordinate priorities and support expense reporting.
- Leverage extensive understanding of the company’s procedures and practices to make independent decisions within the scope of the role.
- Work independently to schedule and organize large meetings, workshops and events with executive level resources both internally and externally.
- Anticipate needs of the Vice President and broader senior project team and proactively seek out solutions.
- Track and follow up on action items, invitations, correspondence and documents for signature.
- Provide diversified administrative support for the broader project team (including floor plans, on-boarding support, coordination of workshops, travel, etc.) and company executives.
- Support efforts to prepare, format, and coordinate presentations (using PowerPoint or internal databases).
- Execute various processes for the project, including organization and position management for hundreds of internal and external team members, utilizing workforce and SAP software suites for requests and information management as well as department moves and office planning.
- Handle complex, sensitive and confidential information and issues in an appropriate and professional manner; direct sensitive issues to appropriate leader.
- Manage information and reports and maintain filing systems, contacts and databases for the team.
- Plan and organize events as required for the project including travel, venue bookings and/or catering.
- Develop relationships and work collaboratively on tasks and deliverables with TC senior leaders, external partners, and administrative staff.
- Collaborate and provide administrative support as required for change management, training and program communications.
- Share expertise and best practices to support the development of the broader administrative team, as well as coordination for other clerical/secretarial positions.
Minimum Qualifications
- High school Diploma or Certification in administration from a recognized institution.
- 10+ years of related experience.
- Advanced associated administrative experience using Microsoft Excel, Outlook, PowerPoint, and Word.
- Exceptional communication (verbal and written) and interpersonal skills.
Preferred Qualifications
- Associate degree in administration, accounting, finance, business, or a related program.
- Broad knowledge of both the department and organization’s operations and policies.
- Translate data into actionable insights and visually compelling presentations.
- Craft high-impact slides to effectively communicate findings and recommendations.
- Power BI capability considered an asset.
- Strong organizational skills, and ability to work with multiple priorities.
- Comfort with using Excel and other analytics tools.
- Experience working in SharePoint and Microsoft 365.
- Support the development of succinct, simple executive-level materials to communicate to a variety of audiences.
- Ability to solve unusual problems and demonstrate conflict resolutions skills.
This position may require candidates to:
- Travel to other company locations for temporary assignments, meetings or training (estimated up to a few travel weeks per year based on work schedule).
