Trans Mountain Corporation operates Canada’s only pipeline system transporting oil products to the West Coast. We deliver approximately 890,000 barrels of petroleum products each day through a dual pipeline system of more than 1,150 kilometres of pipeline in Alberta, British Columbia and Washington state.

Trans Mountain also operates a state-of-the-art loading facility, Westridge Marine Terminal, with three berths providing tidewater access to global markets.

Reporting to the Manager, Marine Logistics, this position assists in the effective coordination of vessel and berth schedules and other associated marine activities at the Westridge Marine Terminal. The position is also responsible for data collection and analysis within the IT applications related to marine activities and scheduling.

This position is based in our Burnaby Regional Office and is a full-time in office position.

Key Responsibilities

  • Undertake vessel scheduling, including adjustments over weekends if needed. Work with operations and customer logistics to pre-plan, set and if required adjust draft schedules on an ongoing basis and ensure smooth and clear transfer of scheduling information to operations.
  • Communicate internally and externally as needed. Promptly respond to enquiries from marine shipping stakeholders, e.g. shippers, vessels, port and marine service providers. Effectively communicates with business partners and the IT team. Requires understanding of business requirements and translate into technical requirements. Running scrums, request status reporting, partner with business to deliver successful business process.
  • Expert user of OceanSmart. Assist OS IT Support teams in troubleshooting business system issues, verifying quality of bug fixes, enhancements and upgrades through testing, and help implement updates in OS (Ocean Smart) system training for internal and external users. Provide user training and otherwise as required. Support other Burnaby & Westridge Terminal specific software applications.
  • In cooperation with Maintenance Coordinator assist in delivery line selection and scheduling of berths for tool runs at month end and other scheduled and unscheduled maintenance and repairs that may affect the berth and product delivery schedule.
  • Assist Operations with CCAP for marine logistics deliveries, e.g. industrial gases. Can temporarily assume the role of the Marine Logistics Coordinator as and when required.
  • Assist with developing and drafting standard operating procedures (SOPs) for the logistics coordination of marine vessels, while leveraging best practices and industry experience to ensure the continual improvement of Standard Operating Practices (SOPs).
  • Analyze dock systems and vessel data, report performance. Ensure oversight on automated notifications from OS and emails from finance to ensure data is complete and reports are out in time for processing and invoicing.
  • Maintain work schedule for Marine Interface Supervisors and make adjustments as necessary in case of load windows change to ensure resource gaps are covered.
  • Develop and maintain a working knowledge of CER regulations and stay on top of compliance parameters and implications for TM. This includes developing and maintaining a working knowledge of Trans Mountains' business processes, and rules. regulations, and standards.
  • Participate and support emergency response.

Professional Qualifications

  • High school diploma completion.
  • 6 years or more of related work experience; preferably in a Logistics/Shipping role (Marine shipping).
  • Logistics/Scheduling experience in the shipping industry, preferably in marine terminal operations would be considered a strong asset.
  • Marine experience/background (Junior Navigating or Marine Engineering officer) would be beneficial.
  • Must have a valid driver’s license.

Competencies/Skills:

  • Exceptional organizational skills with the ability to coordinate and process a high volume of tasks, including version control of various documents.
  • Proficient in Microsoft Excel, Word, PowerPoint and Outlook.
  • Must be a team player with a positive attitude.
  • Self-motivated, ability to work independently and take initiative to problem solve and move items forward.
  • Excellent attention to detail and a demonstrated ability to work well under pressure and handle tight timelines.
  • Ability to prioritize and seek direction when needed. Must be capable and able to work with minimum supervision at times.
  • Ability to work well under pressure and handle strict deadlines.
  • Ability to troubleshoot problems and seek out answers.
  • Excellent verbal and written communication skills.
  • Exhibits a professional, courteous manner and exercise discretion in dealing with local agents/shippers at all times.

Other Requirements And Information

  • May need to provide support outside of regular business hours and/or on the weekend.
  • Travel to the Westridge Marine Terminal weekly is required.
