Role Overview


Reporting to the Director, Finance the Payroll Specialist is accountable for full-cycle payroll processing and benefits administration for our Canadian and US operations. The individual will join our growing organization consisting of passionate and highly capable professionals within our rapidly scaling company. We seek a self-starter with a sense of urgency, strong attention to detail, and proven ability to handle multiple priorities with great organizational skills.


This role requires 3 days in the office at our Markham location (Warden/407).



Responsibilities of the role:


  • Oversee full-cycle payroll processing using Dayforce and ADP for approximately 500+ team members situated across Canada and the United States.
  • Ensure all transactions for payroll, pension, and benefits from team member hire to termination/retirement are submitted and processed accurately within the required deadlines.
  • Review all payroll and benefits-related submissions to ensure accuracy (payroll runs, tax remittance, taxable benefit recording, invoices, benefit enrollments).
  • Verify, input/maintain, and organize all payroll, pension and benefits information and documentation (i.e., new hires, deductions, role & salary changes, leaves, terminations).
  • Process other team member changes including pay corrections, retroactive payments and adjustments, severance pay, system terminations, and Records of Employment (ROE).
  • Review team member timecards using the time and attendance system; identify inconsistencies; liaise with people managers to resolve issues.
  • Prepare payroll documentation, records and files appropriately to regulatory bodies.
  • Review and reconcile quarterly and year-end payroll reports including T4s, W2’s and other reporting.
  • Work closely with both finance and HR for administration of quarterly, year-end and ad hoc payments (commissions, merit bonuses, incentive programs).
  • Liaise with 3rd party payroll and benefits providers regarding changes or issues (Manulife, Ceridian, ADP, Telus Health, Gennex,)
  • Track, deduct, and remit all garnishments and other special payroll deductions.
  • Handle group benefits administration (e.g., monthly premium remittance statements, reports).
  • Manage and deliver attendance & leave reporting; report annual vacation carry over balances and calculate entitlements.
  • Ensure that monthly and year end regulatory filings are performed on a timely basis.
  • Track, maintain and analyze headcount and salaries, wages and benefits reporting.
  • Accountable for all year-end payroll and benefit processing activities (T4s, T2200s).
  • Interpret policies and government regulations affecting payroll procedures.
  • Assist with development and implementation and of new policies and systems (e.g., HRIS, new payroll managed service).
  • Support all internal and external audits related to payroll.
  • Offer support to special projects and implementation of Finance and HR initiatives. Provide regular and ad hoc reports to both teams, as required.


Experience & Qualifications:


  • Degree or diploma in Business Administration, Human Resources Management or a related field.
  • Completion of the Canadian Payroll Association Certification Program and/or designated or working towards Payroll Compliance Practitioner (PCP) certification is an asset.
  • Proven experience managing full-cycle payroll processing for CAN and the US based operations..
  • Expertise using outsourced payroll systems (e.g. Dayforce or ADP) combined with in-depth knowledge of payroll practices, payroll/HRIS systems, and relevant tax regulations, procedures, and processes.
  • Handle tax-related items as they pertain to Canadian payroll while also providing support on tax related items for our US payroll.
  • Customer-service mindset; committed to delivering exceptional service to leaders, team members, potential future hires and vendors.
  • Highly organized and great time management skills – you meet date-driven timelines in a fast-paced environment and effectively manage multiple priorities simultaneously.
  • Laser-focused attention to detail. Maintain a high level of confidentiality and deal with sensitive issues with tact and discretion is essential.
  • Adept ability to uncover payroll/data issues and implement corrective actions.
  • Demonstrated ability to work independently and as part of a team.
  • Excellent at time management, prioritization, and organizational skills
  • Continuous improvement mindset to streamline payroll processes.
  • Responsible for processing year-end tasks. Oversee all monthly, quarterly, and year-end tax obligations.
  • Excellent verbal and written communication skills
