What will you be doing!
- Maintaining project action and activity logs to support the Project Lead and team to ensure accuracy and avoid potential delays during the execution of the project.
- Attending project office meetings and field reviews on the construction site and being required to take accurate meeting minutes.
- Attending the site to observe construction activities, Evaluating the nature and condition of the project, and providing suggestions to the Project Lead on execution observations.
- Interfacing with the project stakeholders, including internal PHAI groups, contractors, consultants, municipal contacts and local residents as required by the Project Lead.
- Keeping accurate records related to projects, specifically documentation, clarification and presentation to management.
- Prioritizing tasks according to project timelines.
- Assisting the Project Lead with scheduling meetings and events, general communication, taking meeting minutes, sending meeting notices, and logging actions.
- Assisting in maintaining project schedule and financial data; monitoring and reporting on the status of Procurement Orders.
- Creating and maintaining various spreadsheets, diagrams, and documents as required.
- Assisting the project team in preparing documents and letters for distribution and filing.
- Providing assistance to the project team in preparing deliverable reports, correspondence, procedures, papers and abstracts, and presentation materials.
- Ensuring accurate formatting on documents and reports, proofreading documents, and proper completion of all associated review, comment, and routing forms in accordance with procedures.
- Receiving and managing project submittals, reviewing and commenting process with the Project Team, Contractor and Engineer of Record.
- Maintaining priorities, timetables, and scheduling meetings and appointments.
- Assisting in preparing correspondence, memos, letters, procedures and formal document templates.
- Assisting project team in research, providing input to the development of practical and economical solutions to specific engineering problems.
- Building technical expertise in construction oversight, project engineering, and design activities, while evaluating studies and contracts to ensure alignment with standards, objectives, and specifications.
- Assisting the project team in the preparation of work plans.
- Other duties as assigned by your manager.
- Education
- The Project Assistant is expected to have a post-secondary diploma OR 4 years of relevant experience without a relative post-secondary education.
- Knowledge, Skills & Abilities
- Working knowledge of the computer-based applications used for project management purposes (i.e., scheduling software, Microsoft Excel, Microsoft Word, Microsoft Outlook, etc.).
- Strong knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar. - re write this as comes across as unfriendly
- General familiarity with construction and/or engineering project work.
- Strong awareness of safety in a construction project environment.
- A general understanding of project management processes, especially those related to scope, schedule, cost, risk, change control, and earned value, is preferred.
- Skills in multi-tasking, organizing priorities and managing time well to meet deadlines.
- Demonstrated willingness and ability to learn.
- Adaptive, able to respond to changing conditions quickly.

- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
