Job Summary
Maintains all files and records pertaining to bargaining-unit employees. Prepares reports and schedules for manpower use and assists Human Resources Manager to coordinate all human resources functions.
General Responsibilities
EDUCATION: College Diploma in Human Resources Management or University Degree in
Business Administration or equivalent experience as an HR Generalist.
EXPERIENCE: 1-2 years experience in a unionized /automotive industry.
REQUIRED TRAINING: Microsoft Office Software.
RECOMMENDED TRAINING: CHRP designation.

General Responsibilities
- All work must be performed in a safe, efficient manner in compliance with Company Policy, local, provincial and/or federal rules and regulations and the Collective Agreement;
- Contributes to team effort by accomplishing related results as needed;
- Awareness and understanding of Environmental Policy (ISO 14001) and Quality Policy (TS 16949) guidelines and how the position’s responsibilities impacts on environment and quality;
- Shows leadership to the workforce by his/her decision-making skills, motivational efforts, fairness and consistency so that employees are well aware of their performance and individual importance in the department;
- Ensures personnel performing work affecting product quality shall be competent on the basis of on-going training, appropriate education, skills and experience;
- Performs other duties as required by Human Resources Manager to keep pace with changes in the scope of work.
- Assists Human Resources Manager with department’s day-to-day functions;
- Maintains all bargaining unit’s records through a manual and computerized filing system and prepares reports which are distributed to appropriate personnel weekly and monthly;
- Authorizes vacation and leaves of absence by determining whether requests can be fulfilled through the RPM system and manages emergency leave provision of Employment Standard Act (E.S.A);
- Audit the RPM System to assure the Supervisors have cleared all exceptions, and close off the transactions that transpired throughout the week in the RPM System so Payroll can transfer the hours over to the payroll system.
- Tracks Casual absenteeism daily by call-ins, prepares a Quality Operation System (QOS) report on absenteeism monthly;
- Generates layoff lists according to manpower requirements and prepares letters for layoffs and recalls in accordance with the company’s Collective Agreement;
- Answers questions and queries pertaining to bargaining unit’s needs and contacts appropriate personnel for unresolved issues;
- Liaises with the union chair and representatives regarding employees’ concerns
- Prepares quarterly invoices for union leaves;
- Prepares weekly flash report to determine headcount of direct and indirect production needs;
- Oversees a charitable donation budget and determines eligibility as per own discretion;
- Coordinates new employees’ health benefits after probation and prepares a benefit report for an insurance company yearly;
- Tracks new employees’ performance appraisal records during probation;
- Coordinates with payroll for any manpower changes and adjustments;
- Contacts Employment Agencies for temporary unionized positions;
- Distributes seniority report periodically to supervisors and union chair to keep employee information up-to-date;
- Maintains overtime equalization reports on a regular basis;
- Prepares letters of employment, fill in forms for safety shoes and glasses for employees;
- Prepares internal job postings for union positions and post them on Information Board;
- Process Short Term Disability Claims.
EDUCATION: College Diploma in Human Resources Management or University Degree in
Business Administration or equivalent experience as an HR Generalist.

- Computer literate with strong knowledge in spreadsheets application;
- Ability to seek a team approach when necessary;
- Knowledge of human resources practices and procedures and Employment Standard Act;
- Ability to apply the Collective Agreement contract
