Your contribution!

The Senior Administrative Assistant will provide comprehensive administrative support to senior-level executives and contribute to the smooth and efficient operation of the organization. The ideal candidate is detail-oriented, organized, and possesses excellent communication and problem-solving skills. The Senior Administrative Assistant will be responsible for managing complex schedules, coordinating meetings, handling confidential information, and performing a wide range of administrative tasks.

Your day-to-day!

Executive Support

  • Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and making travel arrangements.
  • Prepare and proofread correspondence, reports, and presentations.
  • Act as a liaison between senior executives and internal/external stakeholders, ensuring effective communication and timely responses.
  • Handle confidential and sensitive information with utmost discretion.


Office Management

  • Oversee and manage administrative operations, including office supplies, equipment, and facilities.
  • Develop and implement efficient systems and processes to improve office productivity.
  • Coordinate and maintain records and files, both electronic and physical, ensuring accuracy and accessibility.
  • Assist with budget management and expense tracking.


Communication And Coordination

  • Serve as a point of contact for internal and external stakeholders, maintaining professional and positive relationships.
  • Coordinate and schedule meetings, conference calls, and events, ensuring all logistics are handled effectively.
  • Prepare agendas, take meeting minutes, and distribute relevant documents.
  • Assist with the preparation of presentations and reports.


Project Support

  • Provide administrative support for special projects, including research, data analysis, and coordination of project deliverables.
  • Track project timelines, milestones, and action items, ensuring deadlines are met.
  • Collaborate with cross-functional teams to facilitate project progress and communication.


Team Collaboration

  • Collaborate with administrative staff and other team members to support organizational goals and initiatives.
  • Foster a positive and collaborative work environment, promoting effective communication and teamwork.
  • Provide guidance and support to junior administrative staff as needed.


Your skills, our requirements!

  • Minimum of 5 to 7 years as a Senior Administrative Assistant or similar role, preferably supporting senior-level executives.
  • Proficiency in using office software (e.g., Microsoft Office Suite, calendar management tools).
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
  • Professionalism, integrity, and a positive attitude.
  • Bilingualism (French and English, written and spoken) is required to ensure collaboration with different stakeholders outside of Québec on a regular basis. Spanish is an asset.


Additional considerations!

  • The position can be based in the company's Longueuil (Quebec) headquarters.
  • This position is a S3 level.
