We are seeking to hire an exceptional professional who consistently demonstrates good judgement, professionalism, confidentiality, confidence and business acumen in the delivery of their responsibilities in a fast-paced, challenging environment. Reporting directly to the CEO, this role will provide unparalleled support in ensuring seamless operations at the highest level of leadership in our organization. The Role:
As the executive assistant to our CEO, your responsibilities will include:
- Business Support:
- Provide executive-level administration support for the CEO and Executive team on a wide range of areas including Board meetings, weekly Executive Team meetings, Quarterly Business Reviews, employee communication, Budget meetings amongst others.
- Prepare business documents, collate and prepare presentations, review accuracy of documents and prepare high quality products for CEO's review. Compare Financial and Marketing Numbers.
- Maintain the confidentiality of highly sensitive matter on an ongoing basis.
- Conduct research as needed to support decision making.
- Meeting/Event Coordination and Support:
- Coordinate high-profile events and meetings, ensuring smooth execution and flawless hospitality for attendees.
- Proactively prepare detailed agenda for each meeting, review with relevant stakeholders, distribute in a timely manner and follow up on action items.
- Secure/book meeting locations and plan for catering when needed.
- Business Liaison and Project Coordination:
- Assist in planning, executing and monitoring key projects, ensuring updates are provided to the Executive Team, deadlines are met and information is shared at the appropriate level needed.
- Demonstrate exceptional ambassadorship of ERCO's values in all interactions with internal and external stakeholders.
- Communication Management:
- Serve as the primary point of contact for all internal and external enquiries to the CEO.
- Review incoming and outgoing communication, classify for corresponding action and respond to all enquiries in a professional manner.
- Draft high-quality correspondence for the CEO's review and disseminate information on behalf of the CEO as approved.
- Calendar Management and Travel Support:
- Effectively manage the CEO's schedule, appointments and partner with the CEO in prioritizing engagements.
- Keep track of key dates and ensure all relevant documentation and information are collated in advance.
- Manage and/or coordinate the CEO's/Executive Team's travels, including flights, accommodation, visas, local transportation, expense reimbursement, invoice payments etc.
- Ensure proper record keeping, documentation and filing of information for easy retrieval.
- 5-10 years progressive experience as an Executive Assistant or in similar role, supporting C-level Executives.
- College Diploma in Business Administration or in a related field is required. A Degree in Business Administration is considered a strong asset.
- Bilingualism (English/French) or (English/Spanish) is an asset.
- Exceptional written and verbal communication skills including proof-reading or editing.
- High level of integrity, tact and discretion with the ability to maintain confidentiality of sensitive information.
- Industry Specific Knowledge - possessing product and service knowledge, understanding of the business market and competitor awareness or an ability to research same.
- Effective prioritization, time management and organizational skills with the ability to juggle multiple demands effectively under pressure.
- Proactive planning - anticipating needs, potential challenges and solution.
- Proficiency in Microsoft Office Suite and other relevant tools/software with an aptitude to learn new tools.
- An adaptable and flexible approach to thrive in a rapidly changing environment.
