City Arts Centre is centrally located in Garneau, and we offer many art programs at various City of Edmonton recreation facilities and Attractions throughout the City of Edmonton including ACT, Central Lions Senior Centre, Clareview Community Recreation Centre, Dr. Anne Anderson Recreation Centre, Jasper Place Annex, John Janzen Nature Centre, Booster Juice Recreation Centre in Terwillegar , Mill Woods Recreation Centre, Muttart Conservatory, The Orange Hub, Yorath House, and the Edmonton Valley Zoo.
Reporting to the Arts Experiences Program Manager, the Art Program Coordinator with a focus on Group, School Programs and Day Camps, is responsible for the successful planning and implementation of group programs for both adults and children, school programs and child/youth day camps. This includes more than 120 camps in the summer, 15 or more spring break camps. As well, this position is responsible for coordination of group programs in visual/performing art, music, cooking and baking, pottery, metalsmithing and mind and body. The position will also supervise 30 or more part-time Program Specialist Art Instructors, ensuring the smooth delivery of all programs. This position requires a confident professional with a strong ability to manage multiple priorities in a high-demand and dynamic environment.
What will you do:
Up to 1 temporary full time position for up to 11 months in accordance with Article 18.02 of the Collective Agreement
Hours of work: 33.75 for temporary full-time. Evening and weekend work may be required
The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
Salary: $29.918 - $37.546 (Hourly); $52,708.040 - $66,146.670 (Annually)

What will you do:
- Provide day to day supervision, coaching and mentoring of Program Specialists Arts Instructors and administrative staff in collaboration with Arts Experience Program Manager
- Provide leadership in developing, coordinating, monitoring and evaluating new and established Arts programs and camps within registration, revenue and expenditure guidelines
- Recruit, onboard, supervise, retain and evaluate staff and volunteers as required for the effective delivery of programming
- Arrange personal and required staff training (Onboarding, Peoplesoft, Learning Management System, etc.) and maintain facility orientations and all safety and certification documents
- Perform classroom observations, evaluations and lesson plan reviews
- Plan and organize implementation of Spring and Summer camps and reserved/on-demand programming (school and group)
- Research and develop new programming that is in the public interest and facility needs
- Implement and deliver programs as emergent needs arise
- Provide excellent customer service to internal and external stakeholders, including parents, teachers, 311 calls and more
- Liaise with the Program Reservations team, teachers and patrons to ensure facility programs are being booked efficiently and correctly
- Ensure art equipment and patron safety processes are being followed
- Responsible for managing, procuring and maintaining supplies within a defined budget
- Represent City Arts Centre at on facility-based committees
- Ability to prioritize tasks, strong sense of time management and a high level of attention to detail when planning, developing and implementing four program seasons within established timelines and deadlines
- Maintain and review program stats for qualitative and quantitative analysis
- Coordinate and assist with special projects and events
- Liaise with coworkers for promotional needs, including media interviews, and submission of of class content for brochures and websites
- Prepare, monitor and update seasonal promotions and event schedules, create program publicity and promotional material using print ads and social media content
- Collaborate and develop relationships with organizations, agencies, partners, individuals and internal stakeholders for effective coordination of Arts programs
- Coordinate supplies, equipment and registration information for City Arts Centre and all Outreach facilities to ensure successful delivery of programs
- Develop program resources such as curriculum, supply lists, participant handouts and procedural manuals for instructional staff and support volunteers
- Contribute to strategic planning and implementation through articulating and researching artistic programming and branch objectives
- Monitor program budget and complete all procurement payment procedures including payment requisitions and corporate procurement card reconciliation
- Direct day-to-day tasks and monitoring for all programs; check registrations, waitlists and collaborate with administration for registered program callouts
- Complete all necessary follow-up on customer concerns and comments with regard to programs and forward them to supervisor when appropriate
- Respond to patron queries and requests in a timely manner and recommend and or create programs most suited to client needs
- Provide regular status reports and metrics on all program related activities, including customer satisfaction and feedback, attendance and fill related duties in keeping with the purpose and accountability of the job
- A bility to administer timesheets for instructional staff and submit related invoices for procurement/payment
- Post-secondary degree in Arts Administration, Recreation Management, Fine Arts, Education or related discipline with training in program development
- One year of program implementation and delivery experience in arts programming with children, youth and adults in a social recreational program setting
- At least six months of supervisory experience including onboarding, offboarding, coaching, mentoring and disciplining staff is required
- Experience in delivering or supervising programs that focus on studio-based art programming
- Supervisory experience with demonstrated ability to recruit, support, lead, motivate and train large teams of staff
- Ability to manage multiple program seasons at once and experience with many overlapping deadlines and schedules
- Familiarity with art studio set-up, equipment, art supplies, suppliers and studio processes
- Previous experience working at an art centre, particularly with child/youth camps and group programs
- Knowledge of K - 12 school curriculum
- Knowledge of best practices and current trends in contemporary adult and child/youth programming in visual, performing, writing and culinary arts
- Experience and knowledge of Google Workspace, including Gmail, Google Docs and Google Sheets etc and other computer software programs
- Familiarity with prepping, attending and contributing to meeting agendas alongside proper etiquette
- Ability to work independently with little direct supervision
- Excellent interpersonal skills including exemplary skills in verbal, and written communication, facilitation/presentation and conflict resolution
- Proven customer service skills Ability to foster a strong team environment with teams of varying sizes through courage, inclusivity, collaboration and creativity
- Knowledge of a program registration and booking system such as Intelli
- Knowledge and experience with a variety of social media platforms such as, Facebook and Instagram

- Valid Intermediate and First Aide and CPR Level C
