Role Overview:
The Purchasing Manager is responsible for overseeing the purchasing of materials and goods required by the company. This role is essential to ensure the supply chain runs smoothly by working closely with vendors, internal customers and the operations team to ensure timely delivery and industry leading fill rates. The Purchasing Manager also monitors purchasing activities, controls inventory levels, and manages a team of buyers, ensuring all purchasing processes align with company goals and cost-efficiency standards.
Primary Duties and Responsibilities:
Leadership & Team Management:
- Supervise and guide a team of purchasing professionals to ensure all purchasing activities meet company requirements and standards.
- Provide training and development opportunities for team members to enhance their skills in procurement.
- Monitor and evaluate the performance of the purchasing team, setting clear goals and offering regular feedback to improve team efficiency and performance.
Procurement Strategy & Operations:
- Lead and manage the end-to-end purchasing process, including sourcing, some negotiations, purchase order creation, and timely delivery of goods.
- Work with internal departments to determine purchasing needs and prioritize procurement based on demand.
- Develop and implement effective sourcing strategies to obtain the best pricing and terms from suppliers while maintaining product quality.
- Review and approve purchasing orders, ensuring they align with budget and specifications.
- Track and manage vendor performance, identifying opportunities for cost savings, improved service, or better quality.
- Ensure consistent and clear communication between suppliers and internal teams to resolve any procurement-related issues.
Inventory Control & Budget Management:
- Monitor inventory levels, identifying when to reorder materials to maintain production schedules without overstocking.
- Collaborate with inventory management teams to ensure product availability without excess stock.
- Prepare and manage the purchasing budget, ensuring that procurement costs stay within budgetary constraints.
- Identify cost-saving opportunities without compromising on quality or delivery.
Vendor Management:
- Develop and maintain strong, long-term relationships with key suppliers and vendors, ensuring the company’s needs are met efficiently.
- Manage supplier performance, addressing issues related to quality, delivery delays, or other concerns.
- Identify and evaluate new suppliers to diversify procurement sources and maintain competitive pricing.
Compliance & Reporting:
- Ensure compliance with internal purchasing policies, procedures, and external regulations (e.g., environmental, ethical sourcing).
- Maintain accurate records of procurement transactions, ensuring transparency and traceability.
- Prepare and present regular reports on purchasing activities, supplier performance, cost savings, and other key performance indicators (KPIs) to senior leadership.
- Lead efforts to improve procurement processes, systems, and technology to enhance efficiency.
Recommended Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
- years of experience in procurement or purchasing, including 3 years in a managerial or leadership role.
- Strong knowledge of procurement best practices, supply chain management, and vendor relations.
- Proven experience in contract negotiation and cost reduction strategies.
- Strong organizational skills, with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with suppliers and internal teams.
- Strong analytical skills and attention to detail.
