Make an impact with our Administration team as an Administrative Assistant in our Mount Pearl, NL office. Responsibilities
- Maintain a well-organized office environment, including managing supplies, equipment, and facilities
- Serve as the first point of contact for clients, providing excellent customer service and handling inquiries.
- Perform a variety of administrative and clerical activities, including reception coverage
- Review, modify and prepare comprehensive templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data, as applicable
- Collaborate with the Administrative office team and support some Partners directly on their engagements
- Accurately input and maintain client information, confidentiality and financial data
- Communicate via email, phone, teams with efficiency and professionalism
- Record minutes at various meetings and distribute or archive them accordingly
- Maintain electronic and paper filing systems
- Manage and coordinate multiple calendars
- Coordinate and schedule internal and external meetings, appointments and team social events
- Coordinate travel arrangements and reservations
- Contribute to the development of new ideas and approaches to improve work processes
- Work collaboratively with other team members and leadership
- Post-secondary education in administration is considered an asset
- 2+ years of administrative experience in a professional working environment
- Excellent organizational and time management skills
- Ability to multitask and prioritize effectively
- Attention to detail and problem - solving skills
- Strong communication and interpersonal abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Positive attitude and a team player
