Job Description

The Receptionist will answer and manage the multiple line switchboard and greet and assist guests entering the building and help direct them where they need to go. Open and sort incoming and internal mail, maintain executive travel schedules, division contact lists, functional job instructions and general administrative tasks.

Responsibilities

  • Serve as the face of the company, greeting all employees, customers, vendors and visitors entering the building or calling in on the phone with friendly professional customer service.
  • Operate a multi-call telephone switchboard (online dashboard with multiple queues), directing and relaying messages to the appropriate party or department to ensure customer satisfaction and call completion.
  • Manage bookings for training and video conference rooms.
  • Perform a variety of administrative duties for the various companies within the building as requested. Support special events.
  • Assist other Universal Properties departments during absences of regular staff.
  • Maintain reception areas in an orderly and presentable fashion.
  • Other duties and projects as assigned.

Qualifications

  • Excellent customer service skills, telephone etiquette and ability to communicate in a pleasant and professional demeanor.
  • A strong team player with a keen understanding of the importance of professionalism in a service-based position.
  • Experience operating a multiple-line telephone system/switchboard.
  • Strong working knowledge of Microsoft Outlook, Excel and Word.
  • Ability to adapt to a fast paced, dynamic working environment with multiple tasks and priorities.
  • Strong attention to detail.
  • Helpful and flexible.
  • Ability to work weekend and statutory holidays.
  • Bilingual, fluent spoken French and English.
  • High School diploma required; Post-secondary education in Office Administration would be considered an asset.
  • Minimum 2 years of related experience in a reception role or combination experience and education.
