Job Description

Position Purpose summary:

The receptionist performs a variety of reception and clerical duties related to the activities and operations of Ottawa Grace Manor. They are the first point of contact for all visitors and telephone calls.

Accountabilities

Reception Duties

  • Greets all visitors, both in person and on the telephone, in an engaged, friendly, helpful manner, answers questions, provides information regarding the facility and directs visitors to appropriate areas.
  • Operates telephone switchboard by receiving and transferring phone calls; receives and forwards messages to staff and residents
  • Operates pager system
  • Answers intercom system for receiving door, front door and other intercom

Administration Duties

  • Typing and clerical support to all departments
  • Data entry, photocopying and distributing materials and sends and receives faxes as requested
  • Sorts, records and distributes incoming mail and process outgoing mail
  • Prepares routine letters, memos, reports and meeting minutes
  • Updating residents lists

Reporting

  • Create and maintain list of reports required for health and safety compliance purposes.
  • Support external reporting requests as needed.

  • Reports directly to Business Manager

  • Managing Trust Petty Cash

Education, Experience, Qualifications, Certifications, Skills

Education, Qualifications and Certifications:

  • Completion of grade 12

Experience And Knowledge Requirements

  • Minimum 2 years’ experience as a receptionist in long term care or similar setting
  • Minimum 2 years’ experience of data entry and Microsoft Word, PowerPoint and Excel

  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a current Level 1 Criminal Record Check
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Compensation

The target hiring range for this position is $17.61 to $22.01 with a maximum of $26.41.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
