The Senior E-Billing Coordinator will be responsible for assisting in client e-billing, which includes e-bill rejection resolution, prebill review, e-bill preparation, records management, financial reporting, analysis of client bill appeals, tracking outstanding issues for resolution and high-level issue resolution. The successful candidate will be the team’s e-billing/billing subject matter expert to assist with projects and/or questions and provide training and support to other Billing team members.

Major Responsibilities

  • Track, follow-up and handle any e-billing related issues or delays
  • Handle specialized e-bill submissions, rejections and appeals
  • Handle client e-billing inquiries
  • Provide billing and e-billing support for Billing team members
  • Provide regular reporting and reconciliations to the Management Team to track progress on efforts and ensure all pending tasks are handled in a timely manner
  • Create training materials, provide insights to internal stakeholders and deliver training
  • Active involvement in any billing/e-billing process improvements including implementing and testing of system enhancements
  • Provide back up and support for other Billing Team members during absence and vacation
  • Provide technical billing support and guidance to internal and external stakeholders
  • Maintain accurate client and matter records to ensure future billing success
  • Review of client billing guidelines to ensure the Firm is compliant with the guidelines
  • Train timekeepers and legal assistants on the Firm’s various billing software tools

Position Requirements

Education and Experience

The position requires a post-secondary diploma and a minimum of three years of E-Billing/billing, finance or accounting experience, preferably in a law firm or professional services environment. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

  • Knowledge of CMS/Aderant, InTapp software, eBillingHub, Prebill Viewer, and PowerBI is an asset
  • Experience with ERP systems (ex. CMS/Aderant, Thomson Reuters Elite, SAP)
  • Experience with Microsoft Office is required; strong Microsoft Excel skills are an asset
  • Experience providing excellent service in a fast-paced legal environment
  • Excellent communication and problem-solving skills are required
  • Analytical ability to identify issues and drive results
  • Demonstrated ability to perform duties with diplomacy and confidentiality while maintaining superior client service
  • Ability to interact with senior members of the firm, including Partners and Senior Management

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
