The Role

BGC is looking for a highly motivated and organized Administrative Assistant to join our Fredericton Team on a part time, temporary basis. This is an office-based role with some schedule flexibility, ideal for someone seeking short-term employment through the beginning of October.

The ideal candidate would be a self-starter who values teamwork, takes initiative, and takes pride in their work. You will be responsible for supporting a range of administrative needs and collaborating with your fellow administrative teammates across BGC. Reporting to Fredericton’s Senior Office Administrator and the Fredericton Office Manager, you will work in a fast-paced, dynamic consulting environment alongside our Engineers, Geoscientists, and other BGC teams.

Responsibilities

  • Reception duties including receiving visitors and deliveries, directing phone calls, printing and scanning, helping with staff queries
  • Maintain office organization, various office equipment, and supplies inventory
  • Support coordination of domestic and international shipments
  • Prepare meeting rooms and audio-video equipment
  • Organize catering for office functions and meetings
  • Coordinate travel and accommodation logistics for BGC staff
  • Prepare and coordinate for the onboarding of new staff, including preparing and organizing workspaces for new hires
  • Assist with planning office and company social events and meetings
  • Maintain tidiness and general upkeep of kitchen area, visitor workstations, and common office spaces
  • Support the Fredericton Office Manager, office staff and greater BGC Administrative Team as needed
  • Perform other tasks as required


Required Education, Experience & Competencies

  • Entry level position, 1 year of experience would be an asset
  • Proactive and self-motivated
  • Reliable, adaptable, and able to pivot with changing priorities
  • Ability to prioritize tasks to meet deadlines with attention to detail
  • Collaborative approach to working in a team environment
  • Proficient in MS Office products and Adobe Acrobat
  • Comfortable with learning new technology and software
  • Excellent verbal, written communication, and organizational skills
  • Ability to work both independently and as part of a team
