Reports to: Document Control Manager
The Document Controller Shall Be Responsible For
- Coordinate and oversee all aspects of the Document Control process, including the registration, uploading, distribution, and archiving of technical documents, drawings, and commercial correspondence.
- Monitor and follow up on action items with cross-functional discipline teams to ensure timely completion.
- Ensure the accuracy, consistency, and compliance of documentation with established policies, procedures, and quality standards.
- Maintain strict confidentiality of sensitive information, contractual terms, and project-related data.
- Manage the seamless flow of documentation across internal departments and external stakeholders, ensuring timely access and availability.
- Retrieve and provide documents upon request, supporting various project teams and departments efficiently.
- Develop and manage electronic document workflows to streamline review and approval processes.
- Conduct quality checks on incoming and outgoing documentation, identifying and resolving discrepancies proactively.
- Collaborate closely with other document control teams to align practices and support overall documentation goals.
- Prepare detailed, ad-hoc reports and summaries for ongoing projects as needed by management or project leads.
- Perform additional administrative or project support duties as required to contribute to overall team success.
- Completion of a diploma in a related discipline or a combination of education, training, and experience in Document Management
- Minimum 2 years of experience in document management, preferably in an engineering and/or construction-related field
- Previous document management experience with complex transit and/or Metrolinx projects.
- Advanced proficiency with applicable software applications in related field (MS Office, Adobe Acrobat Professional, Aconex & SharePoint)
- Experience with SharePoint, Aconex and Unifier is considered an asset
- Knowledge of project documentation and engineering terminology
- Strong written, verbal, communication, and interpersonal skills
- Detail-oriented, highly organized, and good at managing time and workload
- Ability to accurately and efficiently input and maintain documentation metadata
- Ability to interpret and follow project process, procedures, workflows, and standards
- Strong follow up skills and efficient ability to coordinate
- Experience working in a project team environment with ability to build strong rapport with team members, clients, third parties, and subcontractors
- Ability to meet deadlines in a fast-paced environment, deal with pressure in a professional manner and effectively deal with and adjust quickly to changing priorities
