CONTINUING EDUCATION ASSISTANT (LINC/ESL/LBS Programs)

Location: 440 Albert St Ottawa, ON

Position Status: 1.0 Regular, Full-time, 12 month work year

Hours of Work: Monday to Friday, 35 hours per week

Affiliation: OSSTF District 25 - Educational Support Professionals (ESP)

Salary range: $47,736 to $59 ,467 per annum (Level 5)

Job Summary

Under the direction of the Program Manager and Principal of Continuing Education, the Continuing Education Assistant will provide administrative support to the Language Instruction for Newcomers to Canada, Literacy & Basic Skills (including the Adaptive Learning Program), and English as a Second Language programs. Main responsibilities include but are not limited to, management of electronic records and files for students/staff; assisting with student registration and program planning; recording and verifying attendance records for program/contract staff; submitting timesheets for approval for all program staff; preparing bank deposits and reconciling statements; and general administrative support such as, filing, composing routine correspondence, and responding to inquiries.

Qualifications

  • Completion of a secondary school diploma and minimum of two years of related work experience. A combination of education and experience may also be considered.
  • Knowledge of the LINC/ESL/LBS programs is considered an asset.
  • Bilingual in French and English is considered an asset.
  • Knowledge of relevant board policies and procedures.
  • Knowledge of computer applications including proficiency in word processing, spreadsheets and databases, student information systems (Harts/EOIS Cams/Aspen), Google Applications, HRIS, Microsoft Suites; Continual upgrading of computer skills is required.
  • Ability to operate standard office equipment, and administer public address system.
  • Interpersonal and communication (oral and written English) skills required to provide, exchange and clarify information, and respond accordingly to inquiries.
  • Tact and sensitivity to support clients from diverse and vulnerable backgrounds.
  • Ability to use tact and diplomacy when communicating information to the general public and Board personnel.
  • Initiative and judgment required to action routine or proceduralized matters.
  • Organization and time management skills are required to prioritize work and juggle multiple priorities.
  • Ability to work independently, with minimal supervision and as part of a team.
  • Access to reliable transportation to travel to program sites for registration, as needed.
