Description 




The Office Manager will perform a variety of administrative duties in support of the executive Head Office team. Duties will include managing office administrative procedures, general administrative support, and receptionist duties 




Duties & Responsibilities will vary 




 




General Main Desk & Reception duties 






  • Maintain and establish office procedures  








  • Provide professional, caring, outstanding customer service  








  • Answers phone calls and communicate, direct inquiries, calls for efficient follow up.  








  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person 








  • Maintain a calm & resilient demeanor while handling customer complaints. 








  • Mail preparation & delivery, filing, coping & other similar tasks   








  • Order office supplies 








  • Cheque preparation 










  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques. 








  • Maintain tidy reception, kitchen & boardroom area 








  • Prepare, edit, and proofread correspondence, invoices, presentations, brochures, publications, reports and related material as requested. 








  • Develop, manage & maintain various Word & Excel documents 








  • Schedule and confirm appointments and meetings of employer if requested 








  • May prepare minutes of meetings 








  • Prepare Request for Proposals 








  • Complete forms as requested 








  • Assist with Social Media monitoring  








  • May supervise and train office staff in procedures and in use of current software 





 





  • All other duties/tasks as assigned.

  • Advanced knowledge of all Microsoft Office 365 programs

  • Will maintain confidentiality

  • Is highly organized & thrives in a tidy, well maintained environment

  • Has excellent customer service skills.

  • Strong command of the English language, in both reading and writing 

  • Has excellent communication skills in English.

  • Has basic arithmetic skills.

  • Good problem solving skills

  • Ability to share and highlight success stories on both LinkedIn and Facebook.

  • Knowledge of Photoshop and/or Illustrator are beneficial.

  • Has flexibility to work various daytime hours.
