City Experiences is seeking a Payroll Coordinator for our City Cruises operation in Niagara Falls.

About The Opportunity

The Payroll Coordinator is responsible for supporting the day-to-day operations of the Payroll & HR department for Toronto, Gananoque and Niagara Falls locations. You will work both independently and collaboratively in a fast-paced, ever-changing environment. A strong problem solver, you will be a self-starter with strong attention to detail and a passion to learn and grow within the company. The position of Payroll Coordinator reports to the Regional Director, Human Resources.

Payroll

Essential Duties & Responsibilities:

  • Provides payroll support to the Payroll & Benefits Specialist
  • Assists in the maintenance of the company payroll system, Dayforce; assists Payroll & Benefits Specialist with biweekly payroll runs
  • Provides superior customer service to crew by answering questions, performing research and applying legislation to work practices
  • Prepares, verifies, and audits regular payroll reports, including, overtime, payroll discrepancies, and statutory deductions
  • Maintains and provides user support for payroll and HRIS
  • Promptly respond to and resolve employee payroll inquiries with professionalism and efficiency
  • Assists with completing year-end payroll procedures, including adjustments and verification of T4s against CRA payroll remittance balances
  • Assists with generating accurate reports for Finance, Human Resources, department heads and third-party vendors using Dayforce reporting tools
  • Prepare and submit Records of Employment (ROEs) for terminated employees
  • Maintain accurate employee records in Dayforce and other files, including personal data, job titles, and salaries
  • Establishes appropriate controls to ensure compliance with payroll processes, company policy, and legislative requirements, including developing payroll guidelines and processes, ensuring accurate and efficient administration of programs
  • Responds to government agencies inquiries relating to employees
  • Maintains detailed records and documentation of payroll functions for audit purposes in accordance with statutory requirements
  • Collaborate with HR to assist employees with benefits enrollment, changes, and general inquiries regarding health insurance and leaves of absence


Human Resources

  • Assists with talent acquisition including job postings, pre-screening, testing, scheduling interviews, conducting interviews, reference checks, document signing and onboarding planning
  • Maintains up-to-date crew records and files (electronic)
  • Respond to HR inquiries and escalates when appropriate
  • Assists with crew recognition events
  • Represents the Company at community events, including job fairs
  • Functions as the administrative core for the HR department while assisting the HR team, Payroll & Benefits Specialist and Regional Director, HR
  • Assists with the distribution of crew uniforms; manages inventory and recommends stock replacement
  • Assists with the administration of the employee recognition program
  • Assists with employee recognition events
  • Handles special projects
  • Maintains knowledge of applicable employment legislation including, Canada Labour Code, Employment Standards Act, Occupational Health & Safety Act, Human Rights Code and AODA
  • Demonstrates the ability to support a 7 day a week operation
  • Adheres to all health and safety regulations
  • Works with a safety mindset by following all safety policies, procedures and safety measures (i.e. PPE). Identifies and brings forward risks, hazards and opportunities on the job. Actively participates in health and safety in the workplace
  • Maintains a neat, clean and well-groomed appearance (refer to appearance standards in employee handbook)
  • Reports to work on time and for all scheduled shifts
  • Understands all policies and procedures relating to the employee’s role within the company
  • Maintains any applicable licenses and certifications
  • Completes any other duties as assigned


Requirements & Qualifications

  • University degree or college diploma in Accounting, Human Resources, Business Administration, or related field
  • CHRP designation an asset or working towards obtaining
  • Minimum one (1) year human resources or equivalent experience
  • Multi-site support experience preferred
  • Must be able to travel between in Toronto, Gananoque and Niagara locations and have reliable transportation
  • Must be proficient with Microsoft Suite of products
  • Meticulous attention to details and highly organized
  • Strong analytical and problem-solving capabilities
  • Ability to prioritize and plan work activities to use time efficiently
  • Strong collaboration and team building skills
  • Excellent verbal and written communication skills required
  • Knowledge of trends, best practices, legislation change and new technologies in human resources, talent management and employment law
  • Ability to reach, bend, stoop, wipe, push, pull, move or lift up to 15 pounds (7 kilograms)
  • Walk, stand, sit and work in all types of weather conditions for extended periods
  • If required, wear assigned Personal Protective Equipment (PPE) (i.e. non-slip shoes, gloves, weather appropriate dress attire, sun protection)
