Candidate Profile

The Project Administrator will collaborate with Project Engineers to effectively administer and organize our

projects. This role will primarily focus on supporting project execution through all phases, with a particular

emphasis on the construction administration stage. A strong ability to support a team is essential, as is the

capacity to interact and communicate effectively with clients and contractors.

The ideal candidate will possess strong writing and organizational skills, as well as proficiency in software such

as Excel, Word, Newforma, and Bluebeam. Additionally, a proactive approach to continually improving and

refining processes is crucial.

Key Responsibilities

Duties include, but are not limited to:

  • Documenting project meetings and deliverables.
  • Tracking project deliverables and resources using software tools and input from the project team.
  • Supporting technical staff in delivering projects including word processing, coordination of deadlines, and meeting summaries
  • Liaise with other Project Administrators to cohesively support the broader team
  • Edit, proofread and produce word processing documents of a highly complex nature including proposals, engineering specifications, addendums, change orders, certificates of payment, letters and reports. Experience with document version control is an asset.
  • Assist with receiving, processing, sorting and filing of internal and external documents such as invoices, test reports, submittals, requests for information and related financial and contractual documents (letters, reports, proposals, design notes, drawings, meeting minutes, and promotional materials)
  • Assist with maintaining Archive File Database (digital and hardcopy)
  • Performs other administrative duties as may be assigned from time to time

Professional Qualifications Education:

  • Degree or diploma in administration, project management, or a related field.

Experience:

  • 1–3 years of experience in administrative work, with preference given to candidates familiar with the A/E or construction industry.
  • Proficiency in Bluebeam and Newforma is considered an asset, along with experience in other EDMS

Skills:

  • Committed to client service
  • Intermediate to advanced skill levels with Microsoft Word, Excel, PowerPoint and Adobe Acrobat (Experience with InDesign is desirable)
  • Working knowledge of database management
  • Excellent written and verbal communication skills
  • Focuses attention on detail and accuracy
