Executive ReceptionistThe Receptionist is responsible for answering and directing incoming calls, courteously greeting guests, receiving and recording documents and certain material deliveries and maintaining a neat a professional look to the company's main reception area. Duties and responsibilities include but are not limited to the following: Years of Experience

  • Minimum of one year in reception/administrative support.

Working Conditions

  • May require driving company/personal vehicle when picking up food for meeting or other work-related events;
  • Required to wear PPE in the plant; and
  • Flexible to work overtime as required.

Job Specific Duties

  • Responsible for answering telephone, screening and directing calls immediately;
  • Greet and direct customers upon arrival (offer coffee/water) and monitor visitor's access using Sign In/Out Log;
  • Schedule and track couriers (prepare transmittals if required) and obtain signatures, along with FedEx, Purolator, and UPS;
  • Assist the Accounting Department in handling of documentation related to invoices and packing slips;
  • Collect receipts, sort and reconcile visa statements and provide to Accounting;
  • Maintain calendar for boardrooms/collaboration rooms and address any conflicts as they arise;
  • Coordinate catering if required for boardroom set up for meetings upon notification;
  • Arrange for weekly bagel order and quarterly birthday celebrations;
  • Assist HR Department and CAO with corporate events;
  • Maintain inventory and place orders for office items including stationary, lunchroom, bar area, and marketing supplies;
  • Responsible for Cintas uniform and revise the order as necessary;
  • Maintain and update Staff Extension List and Emergency Contact details;
  • Ensure boardrooms and lunchrooms are always kept clean;
  • Responsible for daily opening and closing procedures of the reception area; and
  • At times required to complete tasks for the Executive team.
