The Asset Management Project & Process Specialist (“AMPPS”) leads and coordinates the development and implementation of Engineering & Asset Management process improvement projects, with the objective of building an effective and robust asset management system. The AMPPS coordinates and administers project activities and progress reports. Assuming the role of project coordinator for procurements, this position prepares requests for proposals and participates in the selection of external consultants to perform infrastructure condition assessments. This role is integral in asset management records management and ensures data process and project deliverables are accurate, complete, and compliant with VFPA drawing standards. The AMPPS coordinates the asset management inspection projects and integrates and maintains AM data, ensuring that records are of a high standard. Performs other related duties and provides back-up support to the building permit coordination process, as required.

What You Do

  • Lead and coordinate the development and implementation of process improvement projects, with the objective of building an effective and robust asset management system. Identify opportunities for improvement and implement approved changes accordingly.
  • Develop, document and update project processes, templates and tools and training materials.
  • Evaluate information exchange processes and improvement needs to reduce pain points, clearly define processes, objectives and goals.
  • Implement project management methodologies and templates to define and develop new processes.
  • Establish and maintain relationships with project leads and consultants to foster support for the project deliverables process to ensure adoption of the processes and contribute to the change management effort.
  • Coordinate and collaborate with PER team members in determining compliance and regularly communicating with internal staff and project consultants in assessing compliance with the project deliverables process.
  • Coordinate for procurement of external consultants to perform condition assessment of various infrastructure assets including marine structures, bridges and other types of civil infrastructure as directed by Manager.
  • Prepare and review requests for proposals and participate in selection of consultants. Prepare cost estimates and submissions for contract approvals.
  • Coordinate and administer project activities and progress.
  • Prepare and/or check progress claims. Prepare project cost and progress reports.
  • Review and evaluate report on inspection results and recommend follow-up actions. Work with asset management team to ensure recording of appropriate data, including scheduling of recommended follow-up actions.
  • Coordinate project close-out data and coordinate with asset management team to select relevant data for input to asset management system.
  • Work with multiple internal departments and external consultants and terminal operators.
  • Track information for periodic project status reports through various internal tracking systems. Monitor compliance and ensure data process and project deliverables are accurate and complete in accordance with record drawing standards and procedures.
  • Provides occasional functional guidance to Engineering Technician in organizing the priority of work and coordinates the information or data captured.
  • Review of site service plans, sketch plans to ensure accurate data is sent to external consultants, tenants, etc. Review meetings or check-ins to finalize the utility data updates.


What You Bring

  • Must have a related two (2) year full-time technical diploma or another acceptable diploma from a recognized post-secondary educational institution
  • Minimum of four (4) years of recent related engineering experience in a balanced combination of asset and records management, process improvement, or project coordination.
  • Previous team lead experience in asset management or engineering environment is considered an asset.
  • Asset Management certification from an accredited educational institution is considered an asset.
  • Self-motivated individual with excellent interpersonal skills and the ability to liaise effectively and positively with both staff and outside contacts.
  • Ability to work independently, accurately and on own initiative to maintain work output.
  • Must be a team player with a "customer service" focus. Good organizational skills and flexibility to perform multiple tasks is required.
