Summary

As Event Coordinator, you are responsible for supporting the organization and execution of key events attended or hosted by AquaAction. You work closely with the Executive Assistant and business development teams to create detailed itineraries for senior leadership engagements. You track event-related external communications through HubSpot CRM, enhancing execution strategies. You liaise with event organizers to ensure seamless participation and create structured run-of-show outlines. You develop strategic objectives for AquaAction’s event participation, working alongside program and communication leads. You collaborate on public-facing announcements, coordinate with external vendors, and maintain a calendar of upcoming events. Additionally, you research potential events in Canada and the U.S., gather feedback from stakeholders, and support political engagement opportunities where needed. Your work will help to advance AquaAction's mission to empower innovators and entrepreneurs to develop and deploy cutting-edge water technologies that drive sustainable solutions for water security.


Skill Requirements

·      Expertise in event planning, scheduling, and logistics coordination

·      Experience in working with executive teams and business development staff

·      Familiarity with CRM tools (HubSpot) to track event engagements

·      Strong communication skills for liaising with event organizers and external vendors

·      Ability to develop strategic objectives for event participation

·      Vendor coordination for catering, audio equipment, and other event services

·      Calendar management for tracking upcoming industry events

·      Capacity for post-event analysis to improve future planning

·      Support for political engagements and coordination with communication teams
