Supporting the Development Applications department, the Departmental Associate 2 position carries out a variety of administrative support functions.
Examples of key responsibilities include, but are not limited to:
- Providing administrative support including documentation preparation, editing and proofreading general correspondence and reports.
- Assisting with the creation of presentations including printing, photocopying and binding.
- Managing schedules, including arranging meetings/conference calls and logistical setup for these meetings, including providing assistance to set-up and run audio/visual equipment, arrange catering, etc.
- Preparing and updating meeting materials including printing and/or e-mailing agendas, minutes memorandums, reports, binders or electronic documents.
- Assisting with timekeeping records for employees in the division.
- Preparing correspondence to request report concurrence and managing responses and revisions.
- Providing back up and support to the broader administrative team when necessary, including assisting with training of other staff, managing workloads, etc.
- Preparing and distributing schedule of due dates for reports to Council.
- Maintain contact database, send various mailings to contacts.
- Type, mail, copy and file correspondence including preparation of materials/binders per the Director.
- Review and update Development Applications webpages as needed.
- Ordering stationery and maintaining stock of office supplies.
- Filing and other duties as required.
Knowledge, Skills & Abilities:
- Strong attention to detail with an aptitude for proofreading, suggesting alternatives and making modifications.
- Proven ability to deal with sensitive materials with a high degree of tact and discretion.
- Experience with PeopleSoft is an asset.
- Excellent verbal and written communication skills, including spelling, grammatical and proof reading ability.
- Ability to perform administrative duties with deliberate speed and accuracy without immediate and constant supervision.
- Intermediate skill with Microsoft Office programs including Outlook, Word, Excel and PowerPoint.
- Experience using Adobe Acrobat including merging documents, creating bookmarks, etc.
- Proven ability to multi-task in a high pressure environment.
- Proven time management and organizational skills.
- Proven accuracy and attention to detail.
- Ability to perform timekeeping accurately.
- Ability to use records classification and management systems (e.g. REDMS).
- Ability to cope and adapt well to change.
Qualifications and Experience:
Successful completion of Grade 12 or equivalent
Up to one (1) year of coursework related to the job, such as Microsoft Office Suite, word processing, or general business.
A minimum of one (1) year of related work experience in an office environment is required.
Experience working in a municipal government environment is considered an asset.

Salary Range: $32.70 - $38.43 per hour
Hours of Work: Monday - Friday, 8:15 a.m. - 5:00 p.m. (Compressed work week)
