About Us


The School of Graduate and Postdoctoral Studies (SGPS) at Western University provides leadership and oversight for graduate education and postdoctoral fellows and associates. SGPS supports more than 7,000 graduate students and over 300 postdoctoral scholars, offering a wide array of master's and doctoral programs in collaboration with Western's faculties and affiliated colleges. SGPS plays a strategic role in enhancing the quality and reputation of graduate education at Western by ensuring academic excellence, fostering interdisciplinary collaboration, and advancing professional development opportunities.

Responsibilities


The Coordinator will perform a range of financial and administrative duties to support SGPS deliverables. The incumbent will carry out administrative functions and communicate and build relationships with internal and external contacts. The Coordinator will anticipate and resolve issues, coordinate processes, and provide information and reports on specific business objectives (e.g. student scholarship data, thesis process administration).

Specific deliverables include:

  • Providing financial administrative support for scholarship-related processes and documentation.
  • Assistance with various one-time projects and initiatives within SGPS
  • Inputing information into internal systems for approved thesis examination requests
  • Managing access to specific reports for faculties and supervisors
  • Coordinating and scheduling participants for examination

Qualifications

Education:
  • Undergraduate Degree, in Business Management/Administration preferred

Experience:
  • 1 year of administrative experience in an office environment

Skills, Abilities & Expertise:
  • Knowledge of general office procedures
  • Familiarity with financial records management
  • Familiarity with University policies and procedures preferred
  • Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required
  • Ability to foster collaboration and respect among team members
  • Communication skills with confidence interacting with individuals at all levels of an organization
  • Intermediate computer skills in Microsoft Office Suite
  • Ability to apply creativity, innovation and resourcefulness to daily work
  • Customer service skills with a desire to achieve results in a professional and timely manner
  • Detail-oriented with an ability to function and process information with high levels of accuracy
  • Ability to create a positive impression while interacting with others and responding to inquiries, by telephone, in person or electronically
  • Results-oriented with an ability to handle many tasks and maintain a high level of individual and team performance
