Description

We are seeking a dedicated and detail-oriented Corporate Services Representative to join our Ontario Fulfillment Team. This role is integral to ensuring efficient order fulfillment and exceptional client support. You will work closely with the Manager and team members to process searches and registrations across multiple registries, including Corporate Registries, NUANS, and PPSA. Additionally, you will act as a key point of contact for client inquiries, escalations, and coordination with agents to ensure seamless service delivery.

Key Responsibilities

  • Assist clients in ordering and processing corporate searches, securities searches, PPSA registrations, and NUANS requests.
  • Ensure timely and accurate order fulfillment, adhering to Service Level Agreements (SLAs).
  • Handle first-level client escalations within your subject matter expertise.
  • Provide transactional support and guidance to clients using Dye & Durham’s online platforms.
  • Monitor and follow up on files sent to ministries and external agents to ensure timely completion.
  • Manage client communication, including gathering missing information, resolving discrepancies, and providing regular status updates.
  • Collaborate with out-of-town agents to facilitate seamless processing of client orders.
  • Process invoices for completed services and maintain accurate transaction records.
  • Develop a deep understanding of the services offered within the department and proactively identify opportunities to improve client experiences.
  • Uphold Dye & Durham’s guiding principles, fostering strong relationships with colleagues, clients, and external stakeholders.
  • Contribute to strategic initiatives and continuous process improvements within the team.
  • Perform various administrative duties as required by the Manager.


Skills, Knowledge & Expertise

  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Customer-centric mindset with a proactive approach to problem-solving.
  • Experience in corporate services, legal administration, or registry-related work is desirable but not essential.
  • Proficiency with online platforms and order processing systems.
