The Challenge

Working in close collaboration with the President and Vice-President, the Executive Assistant provides high-level strategic administrative support to both executives, assisting in the day-to-day management of operations, communications, and priorities. This role involves overseeing agendas, scheduling, meeting coordination, follow-ups, and internal and external communications with professionalism, autonomy, and the utmost discretion. In a fast-paced, entrepreneurial environment, the Executive Assistant plays a key strategic and versatile role across both professional and personal spheres.

Job Responsibilities

  • Proactively manage the professional and personal calendars of the President and Vice-President
  • Plan and coordinate meetings, travel arrangements, follow-ups, and various business and personal commitments
  • Screen and prioritize incoming communications (emails, calls, internal and external requests) and ensure timely and professional follow-ups
  • Prepare, review, and format confidential documents, presentations, and meeting minutes
  • Monitor multiple ongoing projects and files, ensuring deadlines, reminders, and action items are followed up on rigorously
  • Organize team meetings, internal committees, and company events
  • Act as a key point of contact between the leadership team, internal departments, and external partners
  • Manage relationships with investors, clients, partners, and vendors, and proactively respond to their needs
  • Participate in meetings and follow-up calls with investors to maintain relationships and provide updates
  • Support the President with budget tracking and financial reporting, ensuring all expenses are documented and aligned with company policies
  • Oversee document management to ensure files are organized, scanned, indexed, and easily accessible
  • Maintain and update the company’s investor database using digital tools
  • Handle administrative tasks related to daily operations (filing, billing, digital tools, etc.)
  • Manage certain personal or daily administrative tasks (scheduling personal appointments, reservations, renewals, etc.)
  • Uphold a high level of confidentiality when handling sensitive information
  • Collaborate with other departments to ensure seamless information flow
  • Support continuous improvement of administrative processes and participate in various special projects

Required Profile

Education / Experience / Certification
  • Post-secondary education (AEC/DEC/Bachelor’s) in administration, office management, or a related field—or any equivalent combination of education and relevant experience
  • Minimum of three (3) years of experience in a similar executive support role, preferably in an entrepreneurial environment
  • Proven ability to work with senior executives in a high-volume, fast-paced setting
  • Experience with investor relations processes, including financial reporting and compliance (an asset)

Skills

  • Excellent command of written and spoken French; English is considered an asset
  • Proficiency with digital tools such as Microsoft Office Suite, Miro, Notion, shared calendar systems, and electronic signature platforms
