The Office of the Registrar (OOR) fosters a culture of student service excellence and is a key contributor to the overall student experience at Western, from the initial point of
contact with prospects through to graduation and beyond.

Within the OOR, the Undergraduate Admissions Office ensures successful achievement of Western’s undergraduate enrolment goals and strategic plans for growth, internationalization, and diversity by advising and supporting prospective students throughout the application and admission cycle.

Responsibilities


The Data Coordinator provides support to the undergraduate admissions systems team. They ensure accurate receipt, manipulation and maintenance of all data emanating from the Ontario Universities' Application Center (OUAC). The Data Coordinator ensures up-to-date information for Main Campus and the Affiliated University Colleges applicants flow accurately from Admissions into Student Records. The Data coordinator will also support with day-to-day operations. This role will also help with PeopleSoft setup and updates in preparation for the new admission cycle. The incumbent will:

  • Transfer data between OUAC and Western using a secure, encrypted platform with multiple file configurations
  • Validates applicant data (70,000+ applicants) throughout the cycle for all first- and second-entry undergraduate programs (e.g., Law, Education, Dentistry)
  • Audits PeopleSoft data to detect errors and ensure integrity of OUAC files
  • Makes timely daily corrections in PeopleSoft, addressing OUAC-related and keying errors
  • Reconciles name changes and citizenship discrepancies between Admissions and Student Records in PeopleSoft
  • Provides first-line support to Affiliated University Colleges for PeopleSoft and application data issues
  • Manually matriculates all Main Campus and Affiliate undergraduate and second-entry applicants
  • Runs processes to generate admission offers and transfers applicant decisions to the OUAC for response processing

Qualifications

Education:
  • Undergraduate Degree in a related field

Experience:
  • 3 years' experience in data management preferably in an academic setting

Skills, Abilities & Expertise:
  • Demonstrated data management and database reporting skills preferably in PeopleSoft Higher Education database systems; advanced skills in Microsoft Excel; basic skills in Microsoft Word
  • Proven high competence with reporting tools such as Congos and Query
  • Familiarity with FIPPA regulations and working knowledge of secure data transfer protocols
  • Excellent judgement, analytical and problem solving skills with a consultative and collaborative approach to addressing issues and opportunities
  • Exceptional attention to detail with a demonstrated ability to complete the accurate data reports
  • Ability and willingness to stay abreast of technological developments
  • Results oriented with an ability to handle many tasks and maintain a high level of individual and team performance
  • Demonstrated ability to successfully manage multiple competing priorities, set both long and short term goals, and to adapt quickly to emerging priorities
  • Excellent communication skills, strong client-service orientation, and demonstrated ability to build strong, collegial relationships
  • Ability to understand customer needs and expectations and provide excellent customer service directly and indirectly to satisfy expectations
  • A strong record of teamwork with the motivation and ability to work independently with little supervision
  • Ability to learn Western's Senate Policies pertaining to Admissions
  • Knowledge of the Canadian secondary and nost-secondarv educational system
