COORDINATOR, FACILITIES MANAGEMENT SYSTEM

Location: 1224 Stittsville Main Street; Facilities Department

Position Status: 1.0 Term Assignment to August 6, 2026

Hours of Work: Monday to Friday, 35 hours per week

Affiliation: OSSTF District 25 - Educational Support Professionals (ESP)

Salary range: $51,070 to $63,728 (Level 6)

Job Summary

Under the direction of the General Manager of Facilities or designate, the Coordinator is responsible for managing the Computerized Maintenance Management System (CMMS) for the Facilities Department. The Coordinator implements changes and enhancements to the CMMS and eBase, provides and controls access privileges, ensures data integrity, and provides on-going training and support to staff/users; The incumbent will also assist with Preventative Maintenance (PM) program and ensure compliance with the public sector procurement guideline while performing other duties as assigned.

Qualifications

  • Completion of a Computer System diploma from a recognized college and minimum 2 years experience working in a database management environment; an equivalent combination of education and experience may also be considered.
  • Experience using a facilities-based maintenance management and inventory system, as well as a certificate in supply chain management and an accounting background is a definite asset.
  • Thorough knowledge of maintenance activities and expertise in computerized maintenance management systems (CMMS) is an asset.
  • Knowledge of inventory management/control and preventive maintenance.
  • Knowledge of relevant Board policies and procedures, administrative practices and procedures.
  • Proficiency in word processing, spreadsheet, and electronic mail. Advanced level using database applications is required.
  • Excellent communication (oral and written) and interpersonal skills in order to interact with internal and external clients, and be able to explain, clarify and provide information using tact and diplomacy.
  • Organization and time management skills to plan and organize work, handle multiple demands and meet deadlines.
  • Initiative to work independently and with minimal supervision.
