    What will your typical day look like?

    We are currently looking for an energetic, results-oriented dedicated Workplace Services professional with exceptional communication and interpersonal skills to join our Workplace Services team in our Halifax office. Their scope of services will include Hospitality Services, Mail & Courier, Health & Safety, and Facilities Management.

    The candidate must be detail oriented, proactive and should be able to work independently, multi-tasking in a fast-paced environment.

    This role includes, but is not limited to, the following primary duties:

    • Greet clients and visitors;
    • Keep the reception desk and client areas neat and organized;
    • Receive and transfer calls to the appropriate person or department; provide phone backup for other Atlantic offices;
    • Manage and track mail, faxes, and courier packages;
    • Manage access card requests and follow-up as necessary;
    • Provide accounts payable support for local office expenses;
    • Prepare and submit expense reports as required;
    • Manage meeting room bookings and coordinate catering;
    • Ensure proper setup and cleanup of meeting rooms, including servery duties;
    • Assist with maintaining kitchen and office supply inventories, restocking as needed;
    • Report facilities concerns to Workplace Services Manager (e.g. lights, HVAC issues, etc.);
    • Assist internal/external clients with inquiries and provide administrative support as needed;
    • Support printing and scanning requests;
    • Participate in Health & Safety program, including roles as Fire Warden and First Aid & JHSC member;
    • Assist the Workplace Services Manager and team with various tasks as required;
    • Use firm software, processes, policies, and tools effectively; and
    • Ability to lift up to 30lbs

    About The Team

    The members of the Workplace Services team possess a practical body of knowledge that is applied in the delivery of office support. It includes jobs in the areas of procurement, mailroom, security, concierge, delivery and distribution, reception, records, hoteling resource management and facilities management. The Workplace Services role draws upon knowledge of the specific function discipline and the organization’s business practices providing services to ensure the safe, efficient and effective operation of the organization. The Workplace Services team is seeking a Workplace Services Professional for our Halifax office.

    You are someone with:

    • Experience in a receptionist role or similar customer service experience.
    • Proven ability to work with senior professionals in a fast-paced environment with tight deadlines.
    • Ability to prioritize tasks based on importance and urgency.
    • Proficient in Microsoft Office Suite.
    • Enthusiasm for continuous learning relevant to the role.
    • Support for agile workplace practices, including space reservation and resource management.
    • Excellent verbal and written communication skills in English.
    • Strong attention to detail.
    • Proactive, highly organized, with exceptional multi-tasking abilities.
    • Flexibility to meet scheduling requirements which includes shifts that generally start at 8:30am and finish at 5:00pm. Overtime may occasionally be required.
    • Ability to respond to requests in a timely manner.
    • Commitment to client-service, respecting firm and client confidentiality, and demonstrating discretion in sensitive matters.
    • Ability to build strong interpersonal relationships and work effectively in a team environment.

    Total Rewards

    The salary range for this position is $33,000 - $60,000, and individuals may be eligible to participate in our bonus program.
