Skills
- Full command of the MS Office suite of software applications (Excel, Word, and PowerPoint)
- Effective and methodical priority management
- Team player who pays close attention to detail
- Ability to organize multiple tasks and meet deadlines
- DEC, AEC, or DEP in secretarial studies, office technology, administration, or any other related field
- Proficiency in French and English, both spoken and written (level 3/5 in English due to our Anglophone clientele)
- Asset: work experience at an advertising agency or a service-oriented company
Agency coordination
- Purchase office supplies and manage inventory.
- Coordinate internal and external events and agency meetings.
- Reserve office spaces, as needed.
- Reply to emails sent to the agency’s general mailbox.
- Manage and receive mail/packages.
- Manage Lemieux Bédard telephone calls and voicemail messages.
- Make reservations and oversee the logistics of flights and hotels for all agency employees.
- Be a contact person for our client and bid management system, including client data entry.
- Create supplier purchase orders and monitor them.
- Make various purchases related to the teams’ projects.
- Monitor direct spending as part of volume discount agreements.
- Archive and manage documentation related to our client agreements.
- Any other related duties, such as administrative follow-up, producing reports, etc.
