RESPONSIBILITIES: Reporting to the Manager of Plant Services, the Administrative Assistant in accordance with established policies, standards and procedures, is Responsible for coordinating the administrative and financial functions for Plant Services including Health and Safety and Community Use of Schools portfolios. Responsibilities include, but are not limited to the following:
- Liaise and troubleshoot with school/building administration, Caretakers and plant staff on Plant operations, Health & Safety and Community Use of Schools issues;
- Respond to inquiries and concerns from various stakeholders in a knowledgeable, tactful, timely and supportive manner, identifying those matters which require personal attention of the Manger or one of the Plant Officers, or redirect as appropriate;
- Arrange replacement Caretakers as assigned;
- Arrange contractors and Plant staff to maintain and service school/building sites through the use of purchase orders, work orders, etc.; ensure appropriate follow-up as necessary;
- Assign General Ledger coding as required;
- Track, enter and process staff attendance, timesheets (including overtime), vacation entitlement, etc.;
- Process and track work orders, invoices etc. for Plant Services and its portfolios;
- Review invoices for accuracy before submitting to Accounting;
- Prepare and track such documents as: tenders, requests for quotation, contracts, requests for information, etc.;
- Communicate with architects, engineers, contractors, suppliers, etc. on Plant projects and procurement;
- Effectively maintain data and reports used in Plant Services such as Building Automation System, Community Use of Schools and other database systems as required;
- Prepare and process correspondence for Plant Operations, Health & Safety, Community Use of Schools, etc.;
- Prepare spreadsheets, reports, cost analysis and backup material related to Plant Operations, maintenance and construction projects;
- Prepare and distribute agenda and minutes for, and act as Recording Secretary for the Joint Health & Safety Committee and other committees as assigned;
- Liaise, coordinate and provide administrative support with the public and schools for “Community Use of Schools” bookings;
- Other additional duties as assigned.
- Two-year Community College Diploma in Business Administration or equivalent education/ training and experience;
- 3 years recent relevant experience; preferably in office support including administrative and financial duties sector;
- Knowledge and current experience in accounting, budgeting and procurement practices;
- Recent experience working with computerized data information systems;
- Proficient in the use of MS Office, including Word, PowerPoint, Excel, Outlook, etc.;
- Strong mathematical, analytical, problem-solving and research skills;
- Ability to effectively problem solve in a timely manner;
- Excellent organizational and time management skills;
- Strong ability to multi-task with competing priorities;
- Self-motivated and self-directed with the ability to work independently;
- A team player with a composed, discreet and professional manner;
- Superior inter-personal skills, and the ability to communicate in both oral and written English;
- A commitment to continuing education and attending related Board sponsored courses/seminars;
- Able to fluctuate schedule to meet demands of Plant Services;
- Access to reliable car and license.
