The Administrative Assistant supports the administrative operations of the Society. This role supports both day-to-day functions and strategic administrative tasks, working closely with the Leadership Team.
Hourly Rate: $25.95
Schedule: Monday to Friday 9:00 am to 5:00 pm MT 7.5 hours/day

Key Duties & Responsibilities- Screens and prioritizes incoming correspondence and other materials for staff members.
- Inputs data from source documents and maintains information in spreadsheets and databases.
- Provides support to staff with technology-related issues, such as password resets.
- Physically and/or digitally files documents; maintains the filing systems in accordance with established guidelines.
- Assists with outgoing mail distribution.
- Responds to outside inquiries about services offered by the organization.
- Provides support in preparing correspondence, meeting minutes, and form updates; drafts routine correspondence such as letters to vendors and internal memoranda.
- Greets visitors; organizes and maintains office space.
- Supports the Senior Leadership Team with administrative tasks, including scheduling and organizing meetings, coordinating external communications, formatting letters, uploading and filing documents, and general administrative coordination.
- Provides administrative support to the HR team, such as preparing employee letters and uploading and filing employee-related documents electronically in accordance with privacy and organizational standards.
- Supports Program Directors by assisting with documentation and conducting file audits to ensure compliance and accuracy.
- Handles petty cash, including accepting payments, issuing receipts, ensuring proper documentation and reconciling and balancing petty cash as per established procedures.
- Performs other related duties as required.
Requirements
QualificationsEducation, Knowledge, and Experience
- One (1) to three (3) years of recent related education and/or experience in health, human or social services, office administration, and/or accounting is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- Experience with database management and data entry.
- Strong understanding of technology and ability to troubleshoot minor issues.
- Professional demeanor and ability to interact with staff and visitors courteously.
