Office Administrator / Receptionist
We are currently looking for a dedicated Office Administrator/Receptionist to join our Power Delivery team in Edmonton, Alberta. This is a full-time position that requires working on-site. The successful candidate will play a key role in coordinating office operations and will serve as the primary point of contact for various office administrative activities. This role is highly demanding, requiring effective multitasking skills and the ability to manage numerous deliverables efficiently.

Office Administrator / Receptionist
We are currently looking for a dedicated Office Administrator/Receptionist to join our Power Delivery team in Edmonton, Alberta. This is a full-time position that requires working on-site. This role is highly demanding, requiring effective multitasking skills and the ability to manage numerous deliverables efficiently.
Roles And Responsibilities
- Perform general office tasks:
- Answer phone
- Greet & support guests
- Ship & receive packages
- Book conference rooms
- Order catering
- Maintaining common areas and reception areas of the office
- Order or grocery shop for office snacks and beverages
- Maintain coffee supply and ensure machines are in working order
- Empty and return recyclable beverage containers
- Ensure common areas are clean/tidy and stocked
- Regularly audit furniture and assets to ensure they are in good condition
- Assist with the onboarding of new staff
- Office orientation
- Desk setup
- Equipment ordering (keyboards, monitors, webcams, etc.)
- Type, edit, and proofread documents and presentations
- Schedule and attend meetings, and prepare meeting minutes and action items
- Make travel arrangements for staff – hotels, flights, rental vehicles, etc.
- Coordinate with remote corporate and operations teams
- Manage multiple calendars
- Financial Tasks:
- Invoice and procurement purchase order creation
- Expense entry for all team members
- Maintain office petty cash
- Manage office supplies inventory – organize, keep record of, and order supplies when required
- Assist in organizing the office special events
- Team lunches
- Semi-annual company events (Summer and Winter)
- Team building activities (such as corporate challenge)
- Support the remote IT team as required in:
- Ensuring local computers and equipment are functioning properly
- Setting up new workstations
- Maintaining office printers
- Provide support by identifying, addressing, and resolving a variety of day-to-day office challenges:
- Troubleshooting minor technical issues related to office equipment and systems.
- Scheduling Conflicts and logistics
- Supply and Resource issues
- Coordinate with internal and external contractors for fire inspections, building maintenance, IT updates, cleaning, furniture, document disposal, etc.
- Assist with local Health, Safety, and Environment committees with safety programs, including ordering Safety supplies and preparation for annual safety audits
- Maintain consistency with POWER administrative practices
- High School diploma required
- 1+ years of previous experience in an office or engineering environment
- Proficiency in MS Word, PowerPoint, Outlook, Excel, and OneNote
- Familiarity with a wide range of office equipment – printers, audiovisual, conference phones
- Strong organization and customer service skills
- Excellent time management skills and ability to prioritize work
- Strong attention to detail
- Excellent written and verbal communication skills
- Class 5 license with a vehicle to utilize for local travel to execute tasks. Mileage is reimbursed
- Document control experience
- Document editing & formatting experience
- Exposure to MS Visio, MS Project, Bentley ProjectWise software
- Experience with OneDrive, Adobe/Bluebeam, Microsoft Teams, SharePoint
- Accounting experience
- Certifications in business administration or similar
