About the Role
We are seeking a highly organized and proactive Recruitment Operations Associate to support our client Eli Lilly, a globally recognized leader in pharmaceutical innovation with recruitment operations This role will focus on interview scheduling, recruitment process management, data tracking, and preparing key performance indicator (KPI) reports to support internal recruitment teams and ensure a high standard of client delivery.
As part of a dynamic and collaborative Talent Acquisition (TA) team, you will play a critical role in ensuring smooth, data-driven, and candidate-centric hiring processes.
Location: Remote GTA (with occasional onsite travel as required)
Contract: Full-time 14-month Maternity leave contract
Key Responsibilities:
Interview Coordination & Scheduling
- Manage interview scheduling with hiring managers, candidates, and interview panels.
- Ensure all candidates receive timely and professional communication throughout the interview lifecycle.
- Troubleshoot and resolve scheduling conflicts while maintaining a seamless candidate experience.
Data Management & Metrics
- Track, maintain, and update candidate progress in the Applicant Tracking System (ATS) and related recruitment tools.
- Organize and consolidate data for active requisitions, time-to-fill, pipeline health, offer status, and source of hire.
- Ensure accuracy in candidate records and assist in managing key compliance documentation.
KPI Reporting & Client Delivery
- Support the creation of weekly and monthly recruitment reports and dashboards on key recruitment metrics (TTF, offer acceptance, funnel conversion, sourcing mix, etc.).
- Assist in the development and preparation of client-ready presentations, highlighting recruitment performance and strategic insights.
- Participate in recruitment planning calls and client meetings to support seamless delivery of project updates.
Process Support & Optimization
- Maintain updated SOPs, trackers, and documentation related to candidate workflows.
- Identify opportunities to improve process efficiency and enhance the candidate and hiring manager experience.
- Collaborate cross-functionally with TA Partners and Hiring Managers to ensure process alignment.
Qualifications
- Experience in scheduling coordination, talent operations, or HR support, preferably in a fast-paced or client-facing environment.
- Strong technical proficiency with ATS tools (e.g., Workday, Phenom), Microsoft Office (Excel, PowerPoint), and reporting dashboards.
- Excellent verbal and written communication skills; bilingualism (English/French) strongly preferred.
- Exceptional attention to detail, organization, and ability to manage multiple competing priorities.
- Experience working with recruitment metrics, Workday, data analysis, and preparing visual reports or client presentations.
- A proactive and collaborative approach with a strong customer-service mindset.
