Position Overview


We’re looking for a tech-savvy, forward-thinking HubSpot Specialist to manage and optimize the systems that power our business. In this dynamic role, you’ll be responsible for overseeing HubSpot, leading SaaS integrations, and ensuring the performance ecosystem. You’ll also take the lead on driving our AI strategy—identifying, implementing, and training the team on tools that improve productivity, automation, and innovation.


The ideal candidate is both strategic and hands-on, with a strong understanding of system architecture, software integrations, and best practices. 1. HubSpot CRM Administration & Optimization (55%)


Primary Job Responsibilities

  • Champion the use of HubSpot throughout the organization
  • Lead enhancements including requirement gathering, testing, implementation, training, and documentation.
  • Lead the deployment and management of all HubSpot tools including Marketing Hub, Sales Hub, and Service Hub to support marketing campaigns, sales processes, and customer support initiatives.
  • Analyze campaign performance and CRM metrics to identify opportunities for improvement; develop dashboards and reports to communicate findings.
  • Provide day-to-day support and training to ensure strong user adoption across departments.
  • Be a force for positive adoption of the platform
  • Implement new tools and assets
  • Onboarding team members to HubSpot
  • Collaborate with marketing, sales, and customer service teams to streamline processes, enhance workflows, and ensure cohesive use of HubSpot across departments.
  • Develop new and customize current views, properties, automation and workflows in HubSpot to increase productivity and efficiency
  • Manage Integrations (new and current)
  • Build reports and verify data integrity
  • Keep up to date on upcoming HubSpot update deployments
  • Integrate and manage HubSpot website and Marketing Hub functionalities, emphasizing seamless interactions with other systems.
  • Manager relationships and support stakeholders in identifying opportunities for process improvements, leveraging expertise to drive positive change within the organization.


2. SaaS Integrations & Website Technology (30%)

  • Design, manage, and maintain integrations between SaaS platforms (e.g., HubSpot, Microsoft 365, Stripe, PandaDoc, WordPress, Zapier, etc.).
  • Proficient knowledge and practical experience in maintaining and developing website backend using WordPress, Java, PHP, HTML, etc.
  • Proactively identify and recommend opportunities for automation, reducing manual work with technology and AI
  • Develop custom APIs and automated workflows to streamline data movement and reduce manual input.
  • Oversee all aspects of company web assets, including website uptime, portals, domains, DNS, SSL, and reporting infrastructure.
  • Coordinate with internal stakeholders and external vendors to ensure web and platform functionality.


Secondary Job Responsibilities


3. Technology Ecosystem & Infrastructure (5%)

  • Manage all technology hardware and software, including setup, maintenance, troubleshooting, and performance optimization.
  • Create and maintain IT process documentation, policies, and security protocols.
  • Lead internal IT projects and initiatives; provide hands-on support and coordinate with vendors when needed.
  • Train staff on equipment and software use; ensure adherence to IT standards and security best practices.
  • Manage all equipment and ensure proper asset inventory.


4. AI Strategy, Implementation & Enablement (10%)

  • Stay current on emerging AI technologies relevant to business operations.
  • Recommend and implement AI tools and solutions within existing platforms (e.g., HubSpot, Microsoft 365).
  • Train and empower team members to use AI for automation, content creation, chatbots, and data analysis.
  • Identify opportunities where AI can improve efficiency, productivity, automation and innovation across departments.

You are a Proactive Learner, staying on top of the latest technological trends and best practices.


HubSpot CRM Proficiency

  • 2+ years’ experience working as an implementor and/or administrator within HubSpot.
  • Advanced knowledge of building HubSpot administration, automations, reporting, and customization.
  • Experience integrating HubSpot with other platforms using APIs or middleware.
  • HubSpot Certifications would be an asset

SaaS Integrations & API Development

  • Strong understanding of API-based integrations and experience with middleware platforms (e.g., Zapier, Make).
  • Basic coding skills (e.g., JavaScript, Python, or similar) to customize integrations and build automation.

Website & Domain Management

  • Hands-on experience managing websites, domains, and DNS records.
  • Familiarity with WordPress, Webflow, or other CMS platforms.
  • Basic to intermediate knowledge of backend web development frameworks such as Java, PHP and more

Project Management Skills

  • Ability to manage multiple technology projects, coordinate with cross-functional teams, and meet deadlines.
  • Experience documenting processes and creating SOPs for technology workflows.


Nice to Have Skills

  • Familiarity with cybersecurity best practices and data privacy regulations.
  • Experience with e-commerce platforms or membership-based websites.
