What You’ll Do:

  • Top 5 Responsibilities:
    • Collaborate with internal teams to ensure that all ad-hoc procurement needed to support R&D and operations is executed
    • Manage relationships with suppliers and service providers with the goal of smoothing operations and coordinating delivery of goods or services.
    • Update and manage MISys master data: Items, BOMs, Suppliers, Jobs, & Locations.
    • Assist in receiving and inventory management activities in the warehouse.
    • Assist in all transportation and logistics related activities including customs clearances.
  • Sourcing and Procurement:
    • Execute procurement for indirect categories such as professional services, production & lab supplies, test material, prototypes, machinery and transportation services.
    • Solicit, evaluate and analyze supplier quotes, negotiate prices, and payment terms of agreements and contracts.
    • Advise internal customers on procurement issues, providing support and guidance at all stages of the procurement cycle
    • Support R&D, engineering, manufacturing operations, facilities and maintenance teams to navigate the procurement process.
    • Monitor and report on cost performance against budget.
    • Ensure accurate data input into project management and supply chain business systems or digital tools.
    • Assist in backflushing or inventory reconciliation processes when required.
  • Supplier Management:
    • Work in conjunction with the supply chain leads to developing a portfolio of suppliers.
    • Maintain strong relationships with suppliers with the goal of ensuring high quality, on-time delivery and optimal pricing.
    • Conduct supplier performance evaluations, manage lead times, and resolve any issues related to quality, delivery, or pricing.
  • Master Data Management:
    • Monitor and update master data in MISys to ensure that the system reflects any changes in Vital Bio’s manufacturing processes or purchasing requirements: Items, BOMs, Suppliers, Jobs, & Locations.
    • Input and update new part number and BOM data in MISys after release of change orders or design documentation.
  • Regulatory Compliance:
    • Ensure safe storage of supply chain related documentation with the goal of audit preparedness.
    • Monitor, track and archive all change notices from suppliers and raise appropriate change control processes when necessary. Ensure accurate documentation compliance from suppliers with the goal of GMP compliance.
    • Work with the QA/C department to manage supplier change control actions to ensure an appropriate change control process is reflected within the Vital Bio supply chain.
  • Warehousing & Logistics Support:
    • Assist in receiving, put-away and shipping of any shipment or goods within Vital’s supply chain.
    • Provide support in monitoring and tracking inbound and outbound freight when required.
    • Assist in periodic cycle counts and aid in discrepancy reconciliation.
    • Execute Return-to-Vendor (RTV) processes and ensure process closure via refunds or replacements.
    • Support and execute inventory transfer & dispensing requests from all internal departments.
    • Assist in execution of inventory allocations required for the execution of Picklists.
    • Assist in customs clearance operations via third party brokers.
    • Establish and maintain positive relationships with all categories of logistics service providers: freight carriers, parcel carriers and 3PLs (Third Party Logistics Service providers).
  • Troubleshooting:
    • Identify and resolve issues stemming from usage of MISys for purchasing, receiving, shipping or inventory related activities.
    • Provide technical support and training to production staff on MES functionalities.
  • Process Improvement:
    • Identify opportunities for process improvements in procurement, production planning and inventory processes, both native and external to MISys.
What You’ll Need:

  • Education:
    • Bachelor’s degree in science, engineering, business, finance or supply chain fields or an equivalent combination of education and experience.
  • Experience:
    • Exposure to basic vendor management and purchasing activities.
    • Understanding of inventory management fundamentals.
    • Exposure to purchasing, warehousing and inventory management in regulated manufacturing settings.
  • Skills:
    • Excellent communication and interpersonal skills.
    • Strong negotiation, analytical, and problem-solving skills.
    • Proficiency in Microsoft Office Suite.
    • Ability to handle and manipulate data in form of spreadsheets or from ERP systems

  • Experience in regulated industries (e.g., medical device, diagnostics, pharmaceuticals).
