The Accounts Payable Coordinator will be responsible for managing the accounts payable process, ensuring timely and accurate payments to US vendors and suppliers, and maintaining proper financial records along with processing payroll for US-based employees, ensuring compliance with relevant tax regulations.
Key Responsibilities
Accounts Payable Duties:
- Invoice Processing: Review, code, and process invoices in accordance with company procedures, ensuring they are accurate, complete, and within budget.
- Vendor Payments: Ensure timely payments to US vendors, maintaining positive vendor relationships and adhering to contractual payment terms.
- Payment Reconciliation: Monitor accounts payable aging reports, ensuring timely resolution of outstanding payables and discrepancies.
- Expense Reporting: Reconcile expense reports submitted by employees, ensuring compliance with company policies.
- Record Keeping: Maintain detailed records of all accounts payable transactions, including invoices, payment confirmations, and vendor communications.
- Month-End Closing: Assist with month-end close processes, ensuring that accounts payable is accurately reflected in the financial statements.
- Audit Assistance: Provide necessary documentation for internal and external audits related to accounts payable transactions and payroll processing.
- Vendor Communication: Manage communication with vendors to resolve billing issues, discrepancies, and inquiries.
- Payroll Processing: Accurately process weekly, bi-weekly, semi-monthly, or monthly payroll for US employees, ensuring correct calculation of wages, overtime, bonuses, and commissions.
- Tax Compliance: Ensure proper deductions for federal, state, and local taxes, benefits, retirement plans, and garnishments, in compliance with applicable laws.
- Timesheet Review: Verify and approve employee timesheets to ensure accuracy and compliance with company policies and labor laws.
- Payroll Reporting: Generate and maintain payroll reports (e.g., earnings, deductions, tax filings, etc.) and provide them to management as needed.
- Payroll Issue Resolution: Address and resolve payroll discrepancies or employee payroll inquiries in a timely manner.
- Regulatory Compliance: Ensure adherence to federal and state payroll laws, including wage and hour laws, and stay up-to-date on changes in tax legislation affecting payroll.
- Year-End Processes: Assist in year-end payroll activities, including preparing W-2 forms and ensuring proper reporting for IRS filings.
- Education:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred but not required).
- CPA designation or working towards (not required, but an asset)
- Experience:
- 1-3 years of experience in accounts payable functions and US payroll processing
- Experience with payroll systems (e.g., ADP, QuickBooks, SAP) and accounting software.
- Knowledge of US tax laws and payroll regulations, including federal and state compliance.
- Skills:
- Strong understanding of accounts payable and payroll processes.
- Proficiency in Microsoft Excel and other Office software.
- Excellent attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Ability to handle confidential and sensitive information.
- Ability to work independently and meet deadlines.
- Problem-solving skills and the ability to handle complex accounts payable and payroll inquiries.
- This role is full-time, office-based on site
- The role may require overtime during peak payroll periods or month-end closing.
