Apex Systems is a global IT services provider, and our staffing practice has an opening for a Senior Business Administrator to place at our client, a multinational technology corporation.

Client: Multinational technology corporation

Terms: 18- month contract

Location: Onsite – Downtown Vancouver (5 days per week)

Job Description

The Senior Business Administrator provides high-impact administrative team and operational support to leadership, ensuring seamless execution of business priorities. This role blends strategic calendar and travel management with operational excellence in team coordination, event logistics, and project execution.

Responsibilities

  • Executive Support & Calendar Management
  • Manages partner calendars, prioritizing meetings aligned with strategic goals.
  • Coordinates detailed travel itineraries, including international logistics and compliance.
  • Provides travel arrangements using internal tools (e.g., accommodations, transportation, security, group codes) for manager(s) and/or group.
  • May create itineraries for daily activities and learns to maximize trip itineraries.
  • Ensures required documents (e.g., immunization records, visas) are obtained for international travel.
  • Follows travel policies and leverages guidance.
  • Cross-Functional Collaboration and Communication
  • Builds strong relationships with stakeholders across multiple organizations (e.g., business-support professionals, Human Resources [HR], Finance, event planners, peers) to enable their leader and/or teams work.
  • Team Management Support (Headcount Management, Recruitment, Onboarding/ Offboarding)
  • Supports headcount management, including recruitment coordination, onboarding/offboarding, and staff movement tracking.
  • Partners with HR and Global Talent Acquisition to streamline hiring and onboarding processes.
  • Maintains organizational charts, distribution lists, and access/security groups.
  • Serve as the central point of contact for a large team providing general business support.
  • Event Coordination & Meeting Logistics
  • Supports planning, coordination, promotion, and support for events.
  • Assists with determining event needs and outcomes.
  • May assist with and/or own creating event itinerary.
  • Acts as a point of contact for events (e.g., changes).
  • Addresses any preparatory setbacks and escalates to senior Business Support staff as needed.
  • Contributes to post event close out (e.g., tracking event results/attendance, distributing post-meeting materials) under guidance of others. Contributes to team morale and building team dynamics.
  • Plans and executes site visits to the Vancouver office in partnership with the US admins.
  • Project Ownership & Execution
  • Executes various projects and tasks and completes project deliverables with little or no supervision.
  • Owns their components of project outcomes end to end with proper accountability.
  • Identifies risks and challenges within core area of responsibility and communicates these to relevant stakeholders.
  • Streamlines processes, provides process improvement suggestions, and adjusts as needed.

Qualifications

  • 2+ years of Administrative, Business Support experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.

Preferred Qualifications

  • Previous administrative experience at an enterprise technology company

Top 3 Hard Skill Requirements

  • Minimum 2+ years of experience in an administrative/business support role supporting calendar and team
  • Minimum 1 year of experience with Office suite
  • Minimum 1 year of experience with event coordination/meeting logistics
