Duties & Responsibilities

Duties & Responsibilities
- The incumbent will support the Vice-President, Legal
- This support includes but is not limited to:
- Manage/maintain the schedule of the Vice-President, Legal ensuring it is up to date, ensuring sufficient time in between meetings for prep/travel if necessary
- Document management (ensuring that the executive is prepared for meetings by gathering materials required)
- Preparing presentations/reports as required
- Planning/scheduling various Committees, Working/Advisory Groups, Client Company Board and annual general meetings, including preparation/distribution of materials
- Assist in maintaining legal contacts and distribution lists
- Assist with IBC corporate filings and other compliance procedures
- Assist with maintenance of repositories for contracts, retainers, interventions, bulletins
- Ensure that correspondence being sent external/internal follows IBC standard branding/templates
- Processing invoices and expense reports
- Maintain a high degree of discretion and confidentiality
- Must be confident in ability to take the lead and make decisions within scope
- Strong ability to plan/prioritize work, anticipate and adapt to different needs
- Adhere to IBC policies and procedures
- Maintain a professional and courteous relationship with all levels of external/internal stakeholders
- Minimum 5 years as Legal Assistant to a senior officer
- Diploma in Legal Assistant or equivalent
- Experience with preparing agendas, taking minutes, making arrangements for Committee, Board and other meetings
- Excellent oral and written communication skills in English; French is an asset
- High level of tact and diplomacy in dealing with confidential issues and high-level executives
- Demonstrated advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint)
- Knowledge of SharePoint, CRM, Concur, Dayforce and MailChimp an asset
- Excellent time management skills
- Effective problem-solving, critical thinking, networking and interpersonal skills
- Ability to multi-task under pressure and without supervision
- Experience as a law clerk may be an asset
